Job Description Summary

The Administrative Coordinator reports to the Maintenance and Safety Coordinator and provides operational support for University Transportation Services (UTS) maintenance operations. This role is responsible for coordinating vehicle mileage reporting, maintenance scheduling, rental fleet administration, fuel card management, financial documentation, and performs a variety of complex administrative support and service record duties. Strong organizational skills, attention to detail, and a customer-focused approach are essential to supporting the maintenance team and UTS ensuring timely, accurate fleet maintenance coordination

Job Description

Job Responsibilities:
  • 20.00% - Effectively maintain mileage/trip logs records for all vehicles managed by UTS and report mileage accumulated on leased vehicles to SC Fleet Management. Effectively communicate with department contacts to gather the necessary mileage information in a timely manner. Assembles, records, and reports monthly mileage for all leased vehicles to SC State Fleet Management on/before their deadline each month. Tracks and records underutilization of vehicles. Maintains related files in an orderly fashion.
  • 20.00% - Coordinate maintenance scheduling between MUSC/Hospital Authority and vendors for demand or scheduled maintenance within one hour of initial call in for vehicle maintenance support. Customer concerns and updates are taken care of in a timely manner. Updates are given as the status of the vehicle changes. One week after the monthly mileage report has been completed you should notify departments if their vehicle is due for scheduled maintenance. Maintain an accurate vehicle, supervisor, and contact lists in Excel.
  • 20.00% - Administer the rental vehicle program and closely monitor the use of all vehicles assigned to the UTS fleet. Communicate with customers to reserve, dispense, and recover rental vehicles. Assure that rental vehicles are kept in ready condition with full fuel tanks and a clean interior and exterior. Maintain proper records of rental events. Forward completed rental transaction records to supervisor for billing. Optimize UTS fleet utilization to meet mileage record objectives.
  • 20.00% - Maintain preventive and demand maintenance records/supporting documents for the MUSC fleet. Prepare associated reports. Ensure that all work orders and invoices are accurate and are maintained according to established standards. Request, receive, and file completed work orders within 24 hours. Meet deadlines for all reports. Resolve inaccuracies on invoices and work orders. Consolidate and process future digital maintenance inspections and outside department maintenance inspection reports when we start receiving them.
  • 20.00% - Maintain UTS's and other departments' fuel card file systems. Collect and verify driver's license information necessary to issue PIN's. Maintain an office supply inventory, develop a current needs list, and make purchases on a bi-weekly basis using Marketplace. Maintain interaction with enterprise-wide departments and display the MUSC Excellence spirit of service. Maintain P-card in accordance with MUSC guidelines. Pay all invoices within 24 hours of receipt.  

MUSC Minimum Training and Experience Requirements:

A high school diploma and four years work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience. Some positions require a valid driver's license and good driving record; or correctable vision of 20/40 in both eyes, with or without conventional lenses, and physical qualifications in accordance with Federal Motor Carrier Safety Regulations, Section 391.41; or AAVMA certification. Some positions require eligibility for bonding.
