Job Summary

Join our 38‑bed Neonatal Intensive Care Unit caring for infants from 22 weeks gestation to full term. Our unit supports an average daily census of 17–18 patients, 2,000 deliveries per year, and 300 NICU admissions annually. You will support a multidisciplinary team including RNs, NNPs, Neonatologists, Respiratory Therapists, Therapy Services, Pharmacy, Social Work, and Lactation.

Unit Secretary Responsibilities

  • Provide administrative support: answer phones, greet/screen visitors, and assist families with AngelEye and parent badges.
  • Maintain patient charts in EPIC and route communications.
  • Coordinate with clinical teams, assist with discharge scheduling, and order supplies.
  • Arrange care conferences and assist with NICU transport logistics.
  • Flex up/down based on unit needs (no mandatory on‑call beyond FTE).

Unit Assistant Responsibilities

  • Stock patient rooms and nurse servers.
  • Clean NICU specialty equipment including isolettes and cribs.
  • Provide front‑desk support during breaks.
  • Collect patient‑room laundry and complete formula/expiration audits.

Qualifications

Required

  • High school diploma or equivalent.
  • Strong communication and customer‑service skills.
  • Ability to work in a fast‑paced clinical environment.
  • Basic computer skills; willingness to complete EPIC training (Unit Secretary).
  • Ability to lift, stock, and transport supplies/equipment as needed (Unit Assistant).

Preferred

  • Previous experience in a healthcare, clerical, or patient‑support role.
  • Experience with electronic medical records (for Unit Secretary).
  • Prior experience in a neonatal, pediatric, or critical‑care setting.

Orientation

  • Customized by role with side‑by‑side training during weeks 1–3.
  • Unit Secretaries complete EPIC training in week 1.

Job Summary:

Clerk level role performing routine clerical work with clearly defined procedures under direct supervision.

Job Responsibilities and Requirements:

PRIMARY RESPONSIBILITIES

  • Assists in maintaining records and systems, receives and prepares information for processing or entry.
  • Composes, types and transcribes correspondence, forms, reports, presentation materials and other written communications as required. Routes written communications as appropriate.
  • Communicates with others in person, telephone, and/or email. May receive and screen visitors and handles general inquiries.
  • Assists with preparing for and facilitating meetings, conferences, programs and/or special events.
  • Establishes and maintains filing systems. Orders and stocks supplies.
  • May enter information from a variety of sources into computer database(s) and verify data entered into computer by checking printouts/reports for errors and correcting as required.
  • Performs other duties as assigned.

PHYSICAL REQUIREMENTS

  • Frequent lifting/carrying and pushing/pulling objects weighing 0-25 lbs.
  • Frequent sitting, standing, walking, reaching and repetitive foot/leg and hand/arm movements.
  • Frequent use of vision and depth perception for distances near (20 inches or less) and far (20 feet or more) and to identify and distinguish colors.
  • Frequent use of hearing and speech to share information through oral communication. Ability to hear alarms, malfunctioning machinery, etc.
  • Frequent keyboard use/data entry.
  • Occasional bending, stooping, kneeling, squatting, twisting and gripping.
  • Occasional lifting/carrying and pushing/pulling objects weighing 25-50 lbs.
  • Rare climbing.
