Job Description:

The Psychology Department is seeking an Undergraduate Operations Coordinator. This position will design and implement the processes, policies, and procedures related to the department's substantial undergraduate student body. This position is the main point of contact to faculty, staff, students, and the general public regarding undergraduate Psychology coursework and student needs. Duties include the planning and implementation of course offerings each semester by collecting teaching requests from faculty, instructors, and graduate assistants; designing the course schedule; and monitoring registration activity. Coordinator will work with the Undergraduate Studies Director to manage the Psychology Advising email account, coordinating responses to questions, concerns, and situations dealing with course scheduling and advising of undergraduate students. Coordinator will also process undergraduate paperwork, including but not limited to grade changes, transfer credits, class permission forms, and retroactive add/drop forms.

Job Responsibilities:

35% - Implement all Psychology Advising and undergraduate student communications with department advisors.  Create policy to resolve complex issues that arise during registration and with administrative procedures including, but not limited to, grade changes, transfer credits, various class permission forms, and retroactive drop and add forms. Answer all relevant calls and requests to the department office. Develop response templates to direct calls to the appropriate sources (faculty, chair, College advising, etc...).

30% - Implement policy for building course schedules for all on-campus and LSU online offerings.  Enter all information into the university system. Design a matrix and schedule spreadsheet to share with Undergraduate and Graduate directors. Closely monitor registration activity and collect registration information sheets from the Registrar's Office. Make independent decisions on placement on course waiting lists and evaluate degree audits ensure students graduate in a timely manner. Schedule and assign Teaching Assistants.

20% - Create policy to coordinate end-of-year document purge based on retention schedule and to manage the collection of syllabi from all instructors of record every semester. Update departmental permission forms for courses on hold each semester or when needed based on changes. Facilitate textbook adoptions from faculty and place orders with the book store. Handle requests from publishers regarding copies for instructors. Manage and secure the test closet for the department.  

10% - Assist the Operations Coordinator with some day-to-day operations, including building, asset, inventory, or maintenance requests, such as oversight of property management duties, maintaining property records for the department; and surplussing equipment and furniture when necessary.  Maintain procedures for security of offices and computers. Conduct annual inventory count for department. Help coordinate all building maintenance needs, quarterly building inspections, submitting maintenance requests as needed, and reserving classrooms and other spaces to be used for special events and meetings.

5% - Other duties as assigned.

Minimum Qualifications

Education Level: Bachelor's degree
