Position Summary
Essential Job Functions
- Understands the nuances of the Travel & Entertainment (T&E) and Corporate Credit Card policies.
- Monitor the JIRA ticketing system and promptly responds to employee queries
- Audit expense reports to ensure expenses comply with Company policy and any discrepancies are flagged for investigation.
- Prepare periodic T&E reports to inform management about matters requiring their attention
- Validate credit card requests are for approved employees and request new or replacement cards, and update all credit card limit increase requests
- Close credit cards immediately following an employee’s departure from the company
- Prepare Final Expense Report for terminated employees when expenses are available and notify manager final report will be sent for approval
- Research if terminated employee had direct reports and email the manager requesting updated manager information
- Assist with updating all relevant information Concur
- Prepare travel settlements, LERM letter and arrange FOREX
- Process and approve vendor payments, and candidate payments
- Prepare shipping labels for mailing credit cards
- Provide exceptional customer service and support to travelers and credit card holders
- Perform other administrative activities as assigned
- Adhere to department policies, procedures, and expectations
Qualifications
Qualifications
- High school diploma or equivalent, but bachelor’s degree in business administration, travel management, hospitality, or a related field is a plus
- Proficiency in Microsoft Office applications, Concur or similar travel management & expense reporting applications, and an aptitude to learn new computer programs
- Demonstrated communication skills (including active listening, writing, and emotional intelligence)
- Detail oriented with demonstrated administrative and organizational skills and ability to prioritize and manage multiple assignments simultaneously
- Ability to work independently with supervision
- Ability to maintain confidentiality, use discretion, and make sound judgment
- Strong understanding of travel industry, domestically and internationally
- Ability to analyze data and generate actionable insights
- Certified Corporate Travel Executive (“CCTE”) or similar certification and proficiency in multiple languages is desirable but not mandatory
Work Environment
- Office-based with little to no travel expected
- Fast-paced, deadline-driven environment requiring adaptability and multitasking
- Ability to lift 25 pounds is required
