You’ll support the Contract Supervisor with managing bids, awards, amendments, and renewals for outsourced services, while tracking key deliverables, coordinating stakeholder communication, and ensuring contract compliance. A key focus will be monitoring insurance renewals in OnBase to keep agreements current and compliant.

About This Position

Contract Administrative Support:

  • Provide administrative support to the Contracts Supervisor ensuring Transportation Department agreements comply with policies and procedures

  • Track contracts, exemptions, and expirations in Smartsheet, ensuring timely renewals and compliance monitoring

  • Post and route contract documents through county approval workflows and initiates internal approval processes

  • Coordinate with stakeholders to determine procurement methods and supports documentation and justification needs

  • Assist in drafting, updating, and monitoring agreements, including scopes, specifications, and fee schedules

  • Manage insurance certificate tracking and vendor outreach to ensure timely renewals and contract compliance

  • Process contract-related requests, amendments, renewals, and supports onboarding documentation for new vendors

Other Business Administration Assignments:

  • Supports internal and external communications while providing ongoing administrative support to the Department

  • Support activation of new vendors and system processes, with backup assistance with purchasing activities

  • May assist the Department with annual audit activities

  • Participate in continuous improvement efforts, including SOP development, report tracking and automation, and monitoring of County approvals for final executed items

Work Hours: Monday - Friday, 8:00 a.m. - 5:00 p.m.

About You

Minimum Qualifications:  

  • A High School Diploma or its equivalent

  • Two (2) years of clerical, administrative, and computer experience

  • -OR- A college degree and one year of clerical, administrative, and computer experience with some executive exposure

  • A valid Florida Driver's License at the time of hire

Preferred "BONUS" Qualifications:

  • Contract experience

  • Knowledge of National Incident Management System (NIMS) 700

  • Experienced with Microsoft Office, Powerpoint, Teams, and Adobe. Microsoft Smartsheet, OnBase, and Power BI

Subject to Passing Substance Screening:  This position is subject to passing a pre-employment substance screening.  An applicant who fails to pass a required drug screening test shall be disqualified from employment for a period of five (5) years

Starting Pay Range: $22.94/ hour, potentially more based on experience
