Job Summary: The Transportation Assistant is organizationally aligned within Medical Administration Service. They are responsible for assisting the MAS Supervisor of Beneficiary Travel in overseeing the daily activities of clerical staff who perform in a team-oriented, customer-driven, professional environment to develop new models of care that emphasize prevention, improve access and coordination of care.

Major Duties:

  • Assist the Beneficiary Travel Supervisor with correctly determining with of several fund control points to utilize, obligation fund, maintaining manual and electronic accounting records, preforming regular reconciliations, and adjusting account balances. Investigates authorizations, orders and/or utilizes the computerized patient record system (CCRS)to review medical record, forward for supervisory approval and, submits all document for payment utilizing appropriate control points for reference. Responsible for explaining regulate guidelines to beneficiaries for submitting and unauthorized ambulance claims to the VA Medical Center for consideration of payment. Liaises with counterparts at several VA medical centers to arrange commercial and air ambulance transportation of organ transplant patients. Reviews request for reimbursement of travel costs for assuring compliance with regulations and procedures completeness, accuracy, internal consistency, and agreement with basic authorization. Reconciles Vouchers Against Authorizations for accuracy prior to preparing certification of payment. Instruct employees in specific tasks and job techniques and make available written instructions, reference materials and supplies. Give on the job training to new employees in accordance with established procedures and practices. Qualifications: To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/10/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. You may qualify based on your experience and/or education as described below: Specialized Experience GS-05: You must have one year of specialized experience, equivalent to at least the GS-04 level in the federal service, that equipped me with the knowledge, skills, and abilities needed to successfully perform the duties of this position and that is typically in and/or related to the position being filled. Specialized experience includes: Operating computer automation programs and internet/intranet resources, such as MS Office products, Veterans Health Information Systems and Technology Architecture (VistaA) email, Computerized Patient Record System (CPRS) and MapQuest, to access information for services offered to determine mileage for calculating mileage between patient residence and nearest medical facility; AND Composing correspondence using proper English grammar, spelling and punctuation to send to stakeholders. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above High School. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond. Specialized experience includes: applying extensive transportation regulations, methods, and practices to perform a wide variety of interrelated or nonstandard transportation support assignments and resolve a wide range of problems; using automated systems to organize and maintain documentation and records supporting beneficiary travel reimbursements and vendor payments; AND extracting information and mileage from online map services and interpret contracts for transportation services. Physical Requirements: he work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site.
