Job Title: Transport Manager
Location: Gurgaon
Job Summary
The Employee Transport Manager is responsible for planning, organizing, and managing the end-to-end transport operations for employees. This includes route planning, vendor management, safety compliance, fleet performance monitoring, and ensuring reliable pick-up and drop-off services. The role ensures safe, efficient, and cost-effective employee transportation while maintaining high service standards and compliance with company policies.
Key Responsibilities
1. Transport Operations Management
Plan and manage daily employee pick-up and drop schedules.
Optimize routes for efficiency, cost reduction, and minimal travel time.
Ensure timely deployment and availability of cabs/buses.
Maintain rosters for shifts (regular, night shifts, weekends, etc.).
2. Vendor & Fleet Coordination
Coordinate with transport service providers and drivers.
Monitor fleet performance, vehicle condition, and maintenance schedules.
Ensure all vehicles have valid insurance, fitness certificates, permits, etc.
Evaluate vendor performance and negotiate service contracts.
3. Safety & Compliance
Ensure compliance with local transport laws and company safety policies.
Implement safety protocols such as GPS tracking, panic buttons, and female employee safety measures.
Investigate transport incidents and take corrective actions.
Conduct periodic safety audits of vehicles and routes.
4. Employee Experience Management
Address employee complaints or concerns regarding transport.
Coordinate with HR and Admin teams for transport allocation and shift planning.
Communicate route/schedule changes to employees.
Ensure a comfortable, safe, and reliable experience for all colleagues.
5. Cost Management
Monitor transport budget and control operational costs.
Track usage, invoices, and vendor bills.
Implement cost-saving initiatives without compromising service quality.
6. Documentation & Reporting
Maintain route maps, logs, attendance records, and vendor documents.
Prepare daily/weekly/monthly reports on transport performance.
Track KPIs: on-time performance, vehicle utilization, incidents, cost per employee, etc.
7. Team Management
Supervise transport coordinators, drivers (if in-house), and support staff.
Provide training and performance feedback.
Manage shift schedules for the transport team.
Required Skills & Competencies
Strong knowledge of employee transport operations (cab management, route planning).
Experience with transport management software (TMS), GPS tracking, and route optimization tools.
Excellent communication and coordination skills.
Problem-solving ability and quick decision-making in emergencies.
Strong vendor negotiation and contract management skills.
Understanding of employee safety and compliance guidelines.
Qualifications
Bachelor’s degree in administration, Logistics, Operations, or equivalent preferred.
7-10 years of experience in employee transportation management or similar role.
Experience managing large-scale corporate transport operations is a plus.
Working Conditions
Office + on-ground fleet monitoring.
May require working in shifts or being on-call during emergencies.
