About This Role
Collaborate with the Lead Training Coordinator to ensure instructional consistency and training quality.
Schedule training sessions and manage the PSHS training calendar for both internal and external stakeholders.
Manage learner registration, confirmations, waitlists, and attendance tracking.
Coordinate classrooms, training rooms, equipment, and learning resources.
Assist with the preparation and management of data for the new Learning Management System (LMS).
Prepare, format, and distribute program documents, reports, and training materials.
Develop and submit program updates and reports to the Customer within required timeframes.
Support program management through monthly reporting, progress updates, and participant coordination.
Maintain and update training records, databases, and documentation archives.
Monitor and track office supplies and ensure timely replenishment.
Provide professional customer service to trainees and clients, including check-in, orientation, and responding to inquiries.
Perform basic reception duties when required, including welcoming visitors and handling phone/email correspondence.
Assist with organising meetings, workshops, and events (e.g., agenda preparation, room setup).
Provide general administrative support to the Lead Training Coordinator and wider PSHS Disaster Management Training team.
Qualifications & Requirements
Essential Skills
Strong written and verbal communication skills in English and Bahasa Melayu.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent attention to detail with strong organisational and time-management skills.
Ability to manage multiple tasks simultaneously and work to deadlines.
Ability to work collaboratively in a team and independently with minimal supervision.
Preferred/Desirable
Previous experience in an administrative, clerical, customer service, or training support role preferred.
Experience in an educational, training, or government sector environment is an advantage.
Customer service background desirable.
Flexibility and adaptability in a fast-paced, multicultural environment.
Interest in disaster management, safety, training operations, or public service is considered an asset.
