Job Description:

The Total Rewards Operations Manager oversees the day-to-day operations supporting the organization’s Total Rewards programs, ensuring accurate, timely, and scalable delivery. This role owns core operational processes (billing and audits, compliance activities, vendor coordination, project management, and employee-facing materials/communications) in a shared-service capacity across the compensation and benefits teams.

What You'll Do:

  • Oversee the Total Rewards Operations shared service and day-to-day delivery across compensation and benefits administration, time off/leave programs, and employee support workflows.

  • Partner across HR, Payroll, Finance, IT/HR Technology, the Total Rewards COE, and external vendors to manage intake, prioritize work, and drive timely issue resolution.

  • Develop and maintain SOP’s and plan documents and summary materials in partnership with Benefits, Compensation, and Legal, as appropriate.

  • Support HRIS/Payroll/benefits integrations by owning operational intake and incident triage (issue logging, impact assessment, prioritization recommendations, and coordination through resolution), while partnering with the Product Owner on root-cause prioritization and enhancement backlog decisions; lead testing and monitor ongoing transmissions and data quality.

  • Lead vendor billing, reconciliation, and audit processes; partner with Finance and vendors to resolve discrepancies, strengthen controls, and ensure timely and accurate payments.

  • Manage the compliance calendar and related operational compliance activities (e.g., vendor deliverables, reporting support, and required notices/filings); coordinate audits and track remediation through completion.

  • Owns and manages the roadmap for process optimization and continuous improvement initiatives, partnering cross-functionally to identify operational opportunities, streamline workflows, improve controls, and implement automation where appropriate.

  • Provide functional project management for Total Rewards initiatives (system enhancements, vendor changes, integrations, annual cycle readiness, and process improvements), including timelines, testing, communications, and training deliverables.

  • Track and monitor resource allocation and workload planning, including forecasting peak-cycle demand, assigning work, and ensuring coverage for critical processes.

  • Partner with Internal Communications and HR leaders to support employee-facing communications and change execution for program launches, updates, and annual cycles.

What We're Looking For:

  • Bachelor’s degree in Human Resources, Business Administration, Finance, or a related field.

  • 6+ years of experience in Total Rewards, HR Operations, or Benefits Administration;

  • Previous project management experience required.

  • Strong experience with vendor management, billing, audits, and compliance.

  • Experience working in multi-state or multi-entity environments (preferred).
