Responsible for assisting and providing administrative support for pastors and/or departments. This multi-task, fast-paced position requires a working knowledge of all administrative and clerical procedures of Gateway Church. This role coordinates details related to ministry events, maintains calendars, schedules appointments, returns phone calls, and responds to emails. A basic understanding of project management and people-tracking software is required (training provided). Excellent time management and communication skills are essential.
Responsibilities include:
Assist with planning, preparation, and helping run Wednesday night services, including coordinating logistics, materials, and volunteers to help facilitate the night smoothly.
Maintain a record of actual monthly expenses.
Maintain and submit monthly expense reports.
Update and maintain calendars; and set up meetings.
Schedule and oversee details for leadership meetings, retreats, prayer meetings, and group leader meetings/trainings.
Send out weekly (or as needed) communication to leaders.
Enter attendance into church metrics.
Send the budget approved for décor to the event coordinator.
Send headcount for all staff meals to the food coordinator.
