The Role 
As Technical Office Manager, you will shape the technical foundation of our global office space experience. You’ll ensure that our 14 offices deliver a seamless, secure, and inspiring workplace - where technology just works. 

This role bridges workplace operations and technical coordination. You will combine hands-on execution with structured governance, working closely with Office Managers, Tech, vendors, and internal stakeholders to ensure that meeting room technology, booking systems, physical infrastructure, and office relocations run smoothly and consistently across all locations. 

You will be part of the First Impression team based in Stockholm, while your scope and impact span all our global offices. 

You will play a central role in defining standards, building structure, and turning complex office environments into simple, reliable, and scalable experiences for our employees. 

Travel will be part of the role as you visit offices, support projects, and build strong cross-city collaboration. 

How you'll shape and run our workspace technology 
You will develop and continuously improve the technical foundation of our global office experience. Your responsibility spans from strategy and standards to hands-on execution, ensuring that our offices are reliable, secure, efficient, and enjoyable places to work. 

Your key responsibilities 

Workplace technology, standards & lifecycle 
Define, implement, and maintain global standards for meeting room technology, booking systems, physical infrastructure, and office equipment. Own the full lifecycle - from setup and integration to maintenance, improvement, and retirement. Ensuring consistency, scalability, and quality user experience across all offices. 

Office infrastructure, compliance & security 
Ensure that physical office technology meets building standards, safety regulations, and security requirements. Manage power capacity, physical security alignment, and technical readiness during office changes and relocations. 

Office projects & relocations 
Lead the technical coordination of office openings, relocations, and refurbishments. Plan timelines, manage suppliers, and ensure smooth transitions with minimal disruption to daily operations. 

Vendors, contracts & procurement 
Manage supplier relationships, contracts, and procurement processes for workplace technology and physical office equipment. Ensure cost-effective solutions, strong delivery quality, and well-functioning partnerships. 

Inventory, budget & performance tracking 
Maintain a complete inventory of all physical office technology and take ownership of cost tracking, budgets, asset lifecycles, and performance reporting. 

User experience & support 
Provide first-line support for workplace technology, create documentation and training, gather feedback, and continuously improve usability, reliability, and employee satisfaction. 

Office strategy & continuous improvement 
Contribute to global office strategy together with Office Managers. Define and follow up on KPIs for uptime, service levels, space utilization, and user satisfaction, and drive continuous improvement aligned with global guidelines.

Experience & background 
We believe the right mindset and skills matter most, but the following experience and background would be considered a strong advantage: 

- A post-secondary education in IT, facilities, or a related field. 
- Experience in workplace technology, IT operations, office/facilities, or technical coordination roles. 
- Experience with meeting room technology, AV systems, booking platforms, or digital signage. 
- Experience managing vendors, procurement, contracts, or budgets. 
- Experience coordinating projects such as office relocations, refurbishments, or technology rollouts. 
- A basic understanding of IT infrastructure, security, and compliance.
