Lendlease is searching for a Team Assistant to join our Victorian Construction Team, assisting a major construction project with a project office located in South Melbourne. As Team Assistant you will directly support the Project Director, and wider project team which includes three regional project sites.

As Team Assistant you will gain an understanding of the team’s priorities and commitments in order to manage diaries, organise and coordinate meetings, book travel, process expenses, in addition to this you will take the lead role in managing the project office along with other general team-based administration.

The role will involve the production and distribution of correspondence as well as assisting in the preparation of presentations, communications, reports and team events. You will be interfacing with the Client, consultants, trade partners and other stakeholders throughout the project.

Responsibilities for the role include but are not limited to

  • Managing communications both internally and externally across all AWS project sites and HUB.
  • Assist with compiling reports such as PCG, PRM and Internal reporting.
  • Management of diaries for key project senior personal, including coordination of required meetings
  • Management of required logistics between Head Office, HUB and Project Sites.
  • Assist with internal training requirements including tracking attendance .
  • Onboarding of new starters into the AWS project prior to them relocation to their respective project sites.
  • Office Management of the HUB office including security requirements imposed under the CSP (this may also include management of a receptionist at a later point in time).
  • Coordination of social events both internally and externally.
  • Preparing presentation packs as directed both internally and externally
  • Management of travel requirements
  • Processing Invoices and Expenses
  • Providing a point of contact between Head Office and Project Team (Working with Metta & Gab as required)

About You:

  • Experienced Executive/Team/ Personal Assistant with a good attention to detail that is able to work comfortably within a busy team environment.
  • The ideal candidate will understand the need for high discretion and confidentiality and will be able to provide guidance to other support resources within the business unit.
  • Strong computer literacy
  • Autonomous, organised individual, with the ability to take initiative, and able to build relationships across a range of stakeholders.
  • Flexible approach and ability to prioritise
