Team Assistant Administration, Marketing & Communications (f/m/d)

Responsibilities:

  • Management Support: You handle incoming requests, organize information, and involve relevant stakeholders to gather data, prepare decision-making processes, solve inquiries independently and ensure that matters are completed efficiently and accurately.

  • Scheduling & Organization: You support the management in day-to-day operations by planning, coordinating, and prioritizing appointments and meetings practically and and efficiently.

  • Marketing & Communication: You take responsibility for FBS’s communications - from concept development and content creation to targeted distribution across in- and external channels (e.g., intranet, website, LinkedIn). You manage and maintain key communication platforms (e.g., SharePoint) to ensure clear, consistent, and audience‑focused visibility.

  • Office Administration: You handle office-related procurements (e.g., office supplies), invoice processing, and the management's travel expense accounting. Aditionally, you take on responsibilities in the HSE area, and provide safety-related onboarding for new employees.

  • Operational Needs Management: With a hands‑on mindset, you identify needs and take independent action - from coordinating repairs to managing access rights and ensuring smooth office operations.

  • Event Management: You organize and support events such as HR Round Tables, summer party, Christmas celebration, Lunch & Learn sessions, and works council meetings in close collaboration with HR, HSE, IT, Facility Management, Travel Management, and other relevant departments.

Qualifications:

  • Qualifications: You have completed a commercial or business‑related training or hold a comparable qualification. 

  • Experience in Assistance Functions: You bring solid experience in office management and administrative support, ideally within both national and international contexts, enabling you to effectively support management and teams.

  • MS Office Skills: You work proficiently with the MS Office suite, especially in Word and PowerPoint.

  • Service Orientation: You enjoy supporting others around you, taking a proactive approach, and heloing to shape processes where to collaboratively achieve success.

  • Structure & Commitment: As a true organizational talent, prioritizing and working independently are among your strengths.

  • Communication & Quick Comprehension: You value clear and direct communication, and quickly familiarize yourself with new topics. You feel comfortable in a role that requires strong coordination and interface management.

  • Language Skills: You communicate confidently in German (at least C1) and English (at least B2) within both national and international collaboration contexts.
