We are looking for a highly organised, detail orientated Team Administrator to join what is a fast paced and ever-moving business. This role will be based in our Dublin office and will help the EA team with day-to-day administrative tasks, logistical arrangements and any ad hoc requirements to support the seamless operating of the UKI Leadership Team and wider division.
In addition, this role may involve providing support to Directors within our wider leadership team on an ad hoc basis.
This role requires very strong attention to detail, solid organisational skills, a willingness to get involved at short notice and the ability to meet tight deadlines while juggling multiple critical requests from multiple stakeholders.
You will be a detail oriented, solid organiser with the demonstrable ability to respond effectively and efficiently while maintaining flexibility and composure.
You'll need to understand the priorities of the team and be flexible, sometimes needing to pivot immediately to new projects, whilst keeping old projects on track. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical.
You will possess the ability to complete complex tasks quickly and react with appropriate urgency to situations that require a quick turnaround.
What You'll be Doing
Logistical duties: coordination of any and all logistical duties attached to the visits of our some of our overseas Directors and senior teams. This includes (but is not limited to) the booking and preparation of meeting rooms, coordination of any catering requirements, greeting of guests and being their point of contact, printing meeting materials, and ensuring that any and all AV/tech is in place and working ahead of meetings
Expenses & POs: the raising and management of any POs, corporate expenses, etc. as needed by some of our senior Directors or EAs
Some ad hoc diary management: liaise with the EA team to provide proactive and timely management for a handful of Directors diaries as may be needed from time to time
Some ad hoc travel booking: liaise with the EA team to provide some travel and accommodation support for some of our Directors from time to time
Administration: updating team org charts, SharePoint sites, file management
Support the planning and execution of team events
Establish relationships with EAs/PAs and other staff across the business
What We're Looking For
Experience working in roles such as Office Manager, Front of House, Customer Services, Reception, Workspace or Administration Services would be beneficial
Excellent interpersonal skills with an ability to work with a variety of styles and personalities
Proactive, flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
Proficiency in Jira, Oracle, and the Microsoft Office suite would be useful but not necessary
The ability to comfortably and succinctly deal with people at all levels of seniority
The ability to stay calm under pressure with a mature outlook and approach
