Talent Team Assistant

The purpose of this position is to provide administrative support to the Chief Talent Officer (CTO), ensuring the efficient functioning of the Global Talent organization. The Talent Team Assistant will be responsible for tasks that are extremely time-sensitive, highly critical, and confidential.

Job Description

Job Functions:

  • Coordinates all Talent team meetings and maintains agendas.
  • Manages CTO calendar, including coordinating and scheduling meetings for the CTO anticipating conflicts and proactively resolving them.
  • Assists with Talent Team presentations and updates content.
  • Compiles and analyzes data for financial reporting and budgeting purposes.
  • Reconciles firm credit card transactions, reviews invoices, and processes with accounts payable.
  • Handles all travel and expenses for the CTO, making sure all aligns with the CTO calendar/meeting schedule and processes expenses timely.
  • Prepares, disseminates, and compiles data from internal surveys.
  • Drafts letters, decks, excel docs, memos, and emails for the CTO.
  • Interfaces, communicates, and coordinates with various vendors.
  • Answers and filters calls for the CTO.
  • Coordinates with the Talent Organization for all new hires and departures of employees to help them get acclimated to the new team.
  • Assists the CTO with office and other special events.
  • Acts as a liaison between the CTO, firm employees, and other Dechert Departments.
  • Assists with the upkeep of all Talent Team web pages.
  • Acts as a cultural champion recognizing they represent the CTO.
  • Provides assistance for Talent Operations department, including but not limited to shared inbox support, general invoice processing, and project support.
  • Performs any and all other duties as necessary for the efficient functioning of the Department, Office, and Firm, and where applicable make independent decisions.

Interactions and Challenges:

The Talent Team Assistant will be called upon to frequently exercise excellent judgment in the everyday fulfillment of these duties.

Qualifications:

  • College Degree strongly preferred.
  • Knowledge of the Firm’s Policies and Procedures.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills.
  • Ability to prioritize and coordinate work.
  • Ability to maintain confidential information.
  • Ability to manage workflow and delegate projects as necessary.
  • Ability to juggle multiple tasks and manage deadlines.
  • Ability to think critically and analytically and make independent decisions in a pressured environment.
  • Ability to clearly and effectively communicate with varying levels of people within the organization.
  • Ability to work productively and cooperatively with other employees.
  • Ability to read, understand and analyze financial statements.
  • Ability to constantly learn new skills as they become necessary.
  • Systems Required: MS Office Suite and all Dechert programs required for position.

Additional Job Description

At the time of this posting, the salary range for this position in New York is between $52,000.00 – $62,000.00 annually. Actual compensation is commensurate with job related knowledge, skills, experience, and location of the position.
