Talent Acquisition Specialist

Remote Full time
This position is 100% remote, supporting companies based in Northern California and Hawaii; work hours will be aligned with the Pacific/Hawaiian time zone.

As a Talent Acquisition Specialist at the Catalight Foundation, you will play a critical dual role on the People Operations and Strategy team—supporting both recruiting coordination/scheduling operations and full-cycle recruiting efforts.
You will support Catalight and its family of companies, including Catalight Care Services, Easterseals Hawaii, and Easterseals Northern California. Scheduling & Interview Coordination

  • Own and manage end-to-end interview scheduling, including phone screens, panel interviews, and final rounds across multiple time zones (Pacific/Hawaiian).
  • Coordinate calendars between candidates, hiring managers, and interview panels to ensure a seamless interview experience.
  • Prepare and distribute interview confirmations, logistics, and materials to candidates and interview teams.
  • Ensure interview processes are organized, timely, and aligned with equity and inclusion best practices.
  • Troubleshoot scheduling conflicts and proactively adjust timelines to maintain hiring momentum.

Recruiting Coordination & Operations

  • Serve as a central point of contact for recruiting operations, ensuring smooth workflow and communication across stakeholders.
  • Maintain accurate candidate data and activity tracking in the Applicant Tracking System (ATS).
  • Support recruiting team with reporting, pipeline tracking, and process improvements.
  • Assist in coordination and planning of recruiting events, career fairs, and outreach initiatives.
  • Help standardize and improve recruiting processes, templates, and candidate communications.
  • Ensure a high-quality candidate experience through consistent communication and follow-up.

Recruiting & Talent Acquisition

  • Develop and implement outreach and sourcing strategies to attract a diverse pool of qualified candidates.
  • Identify and execute effective recruiting methods aligned with role requirements, industry trends, and organizational needs.
  • Assist with job postings, job marketing, and development of job announcements for events and campaigns.
  • Screen applications and identify qualified candidates for hiring teams.
  • Partner with hiring managers, People Business Partners, and recruiting team members throughout the hiring process.
  • Support offer processes including coordination of offer details such as compensation ranges, start dates, and onboarding steps.
  • Participate in hiring events (virtual and in-person), including occasional weekend support.

Compliance & Administrative Support

  • Handle confidential and sensitive information in accordance with Catalight Foundation policies and all applicable laws.
  • Stay up to date with employment law and recruiting compliance requirements.
  • Complete additional duties as assigned by Supervisor.

Qualifications

Minimum Education, Experience & Training Equivalent to:

We believe humans with a diverse range of experiences may be suited for the work at hand. We’re looking for someone who brings deep expertise in people-centered work and is excited to grow with us. This role is well suited for someone who has:

  • High School Diploma or GED required.
  • 2+ years of recruiting, recruiting coordination, or scheduling experience required.
  • Experience supporting high-volume, fast-paced recruiting environments.
  • Experience with online sourcing tools (LinkedIn, Indeed, etc.).
  • Experience coordinating interviews across multiple stakeholders and time zones strongly preferred.
  • Non-profit or shared services recruiting experience is a plus.
  • Experience supporting Hawaii-based teams is preferred.

Conditions of Employment

  • Ability to obtain and maintain criminal record clearance through the Department of Justice (DOJ). The People & Performance Department must analyze DOJ/FBI live scan reports in accordance with applicable Federal, State, and Local laws, as well as fitness for the position.
  • Ability to obtain and maintain clearance through the Office of Inspector General.
  • Must attend any required training.

$82,000 - $96,000 Annually
