The Talent Acquisition Coordinator supports the Talent Acquisition Team by completing the Onboarding Process for each new caregiver. The Talent Acquisition Coordinator also provides excellent customer service to: caregivers, hiring managers, Talent Acquisition Team Members, and each department at San Juan Regional Medical Center.

We follow a 9/80 schedule, which is a flexible full-time work arrangement in which an employee works 80 hours over nine days instead of the traditional ten-day pay period. Typically, this includes eight 9-hour days and one 8-hour day, allowing the employee to have one scheduled day off every other week while maintaining full-time status.

Required Qualifications:

  • High school diploma or equivalent
  • One year of human resource-related experience
  • Must have computer skills and the ability to learn HRIS System 
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Must be able to prioritize and complete multiple tasks and frequent interruptions in a pleasant and efficient manner
  • Must have excellent organization skills and the ability to create, update, and send New Caregiver Orientation lists and rosters to appropriate departments in a timely manner
  • Must have excellent oral and written communication skills with new caregivers, hiring managers, Talent Acquisition Team, and other departments
  • Must have excellent time management skills to meet frequent deadlines, attend various meetings, and complete other assigned duties including but not limited to: reviewing candidates, screening candidates, changing candidate statuses in Workday, and assisting the Talent Acquisition Team when needed   

Preferred Qualifications:

  • Associates Degree in business, human resources, or equivalent combination of education and experience desired 
  • HR certification (SHRM, HRCI)
  • Experience in Workday, Kronos, and HealthStream
  • Experience in onboarding, completing I-9s, completing E-Verify, and Talent Acquisition

                                                                               

Duties and Responsibilities: 

Fingerprinting:

  • Verify the completion of DOH Applications, data entry into Cogent, fingerprinting, and sending completed packets to DOH
  • Conduct fingerprinting for new caregivers, EMTs, volunteers, and students.  For new caregivers and volunteers: complete data entry into the DOH website, print Cogent receipts, monitor application process for final clearance, authorize hire in DOH website, and communication with Volunteer Services to pick up the completed packets

Badging:

  • Create badges for caregivers, volunteers, board members, and students (for new, lost, stolen, broken, etc.)
  • Send communication to activate/deactivate badges (i.e. Security, Café, and I.T.)
  • Data entry into Workday to activate/deactivate badges

Students:

  • Enter students for clinical rotation into Workday
  • Provide Shadow Student forms to students
  • Collect completed forms and documents
  • Conduct Shadow Student Orientations

Verification of Employment:

  • Complete Verification of Employment for current and terminated caregivers

New Caregiver Orientation (NCO):

  • Create and send NCO Lists to: Infection Control, I.T., Education, Security and Talent Acquisition Team 
  • Create and send NCO Rosters to: department managers, Payroll, Benefits, Clinical Educators, Education, Legal, Café, TA Team, Security, Nursing Administers, Patient Experience, I.T., Vice President of Human Resources and Clinic Director
  • Obtain completed NCO documents and scan them into Workday
  • Communication with new caregivers, department managers, I.T., Infection Control, TA Team and Learning & Development (i.e. Welcome email, Employee Health Letter, NCO Roster, NCO List, onboarding calendar, clearances for new caregivers, start dates for new caregivers, etc.)
  • Send invites to department managers for the NCO (i.e. Commissioning Ceremony, picking up new caregivers, etc.)

Onboarding Process:

  • Create and send the NCO List to various departments
  • Create and send the NCO Roster to various departments
  • Create caregiver folders to collect onboarding documents (all scanned into Workday)
  • Schedule onboarding appointments in Outlook
  • Verify if job offers were accepted and onboarding forms were completed
  • Send welcome email (to confirm Onboarding Appointment and NCO) and attach Employee Health Letter (to obtain immunization records, provide contact information, etc.)
  • Enter drug screen appointments in lab schedule (and on-going communication with the Lab to improve processes)
  • Complete background check in VerifiedFirst (MVR, licensing and verification, education, employment history, and drug screen if the caregiver is from out of town) and once the caregiver is cleared, print report, and scan into Workday
  • Complete clearances in DOH website and when cleared, hire the caregiver in DOH website, and contact caregiver if DOH needs further investigation
  • Print Fingerprint Authorization Forms and add registration numbers
  • Print Cogent receipts and scan into Workday
  • Complete drug screen forms for each lab appointment
  • Assign parking stickers and provide specific instructions to new caregivers
  • Create employee badges: take picture, data entry, print badge, attach all cards, provide instructions, send e-mail to I.T., Security, and Café to activate badge, and data entry into Workday
  • Obtain I-9 documents: copy documents, scan documents, and attach to the I-9 in Workday
  • Obtain all professional licenses, copy documents, and attach to the “Career” tab in Workday
  • Walk the caregiver to the Lab for drug screen and add the drug screen form to the hanging clipboard
  • Communicate with the insurance agent regarding MVR Reports (if the caregiver will be driving for SJRMC), add new caregiver to the insurance policy
  • If the drug screen results need additional investigation: contact caregiver and provide investigator contact information
  • Complete the I-9 in Workday, make sure E-Verify authorizes the hire, and attach I-9 documents
  • Complete mail merge to create all NCO documents
  • Enter class codes, parking sticker number, and badge number in Workday
  • Scan all completed onboarding documents into Workday

Other Duties:

  • Administrator role for E-Verify, DOH website, and Cogent
  • Complete all provisioning work requests for new caregivers
  • Finalize new caregivers in DOH website (selecting “Hire” or “Hire Provisionally”)
  • File all Cogent receipts for the Visa reconciliation (monthly reconciliation by the Benefits Department)
  • Enter username and password for new hires into Workday
  • Attend various meetings (one-on-one, Workday training, TA Team Meeting, and daily huddles)
  • Create KPI goals, accomplish goals, create PowerPoint slides, and present at monthly HR meetings
  • Other duties as assigned

Communication:

  • Excellent verbal and written communication skills
  • Excellent interpersonal, negotiation, and conflict resolution skills

Physical Requirements and Environmental Working Conditions:

  • Prolonged periods of sitting at a desk and working on a computer
  • Occasional irregular work hours (to meet the needs of SJRMC)
  • Must be able to lift twenty-five (25) pounds
  • Occasional: lifting, carrying, reaching, bending, pushing, pulling, and stooping
  • Must be able to: talk (ordinary and conversations), hear (ordinary and conversations), and see (acuity: near and far, depth perception, and color vision)
