The Talent Acquisition Assistant provides key administrative support across the Talent Acquisition function, supporting our sourcing, interviewing, hiring, and onboarding tasks. The Talent Acquisition Assistant also provides excellent customer service to: hiring managers, Talent Acquisition Team Members, and each department at San Juan Regional Medical Center.

Required Qualifications:

- High school diploma or equivalent
- At least three (3) years of experience in a customer-facing office/administrative setting
- Must have basic computer skills and the ability to learn new systems quickly
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Must be able to prioritize and complete multiple tasks and frequent interruptions in a pleasant and efficient manner
- Must have excellent organization skills
- Must have excellent oral and written communication skills, including the ability to communicate with individuals at all levels of the organization, and a commitment to consistent follow-up from beginning to end
- Must have excellent time management skills, with a strong focus on meeting deadlines
Preferred Qualifications:
- Experience with Workday
- Experience in Talent Acquisition, Human Resources or a related field
Duties and Responsibilities:
Duties include but are not limited to:
- Assumes responsibility for administration of requisitions from the point when leaders submit an approved requisition until it has been fully processed and goes live and is assigned to the dedicated talent acquisition consultant:
- Utilizes a checklist to ensure all pre-work is successfully completed
- Shows awareness of errors commonly made, and ensures errors are caught prior to requisitions going live
- Responsible for scheduling interviews for Full-Time, Half-Time, Part-Time, PRN (occasional coverage workers), Graduate Clinical Professional (Registered Nurses, Physical Therapists, Occupational Therapists, Imaging Techs, etc.), and Travel Clinical Staff candidates
- Responsible for administrative duties that occur once an applicant accepts a job offer. Duties include:
- Generating Offer Letter
- Initiating Sign on Bonus Agreements
- Initiating Relocation Agreements
- Tracking signatures on all documents
- Uploading documents into the new employee’s Workday record
- Responsible for tracking the status of all Travel Clinical Staff contracts and distributing this information to all stakeholders.
- Assists Onboarding Coordinator with documentation administration in high volume situations (e.g. new contract organization onboarding; mergers and acquisitions onboarding; etc.)
- Assists job applicants with travel and lodging accommodations
- Obtains completed NCO documents and scans them into Workday
- Verifies that job offers were accepted and onboarding forms were completed prior to hand off to Onboarding Coordinator
- Each caregiver is responsible for implementing SJRMC’s Service Standards into their daily work

- Prolonged periods of sitting at a desk and working on a computer
- Occasional irregular work hours (to meet the needs of SJRMC)
- Must be able to lift twenty-five (25) pounds
