Job Summary:
In a career as an Surgery & Diagnostic Scheduling Representative, you join us in providing life-changing care to patients from across the region. In this role, you will coordinate and schedule surgical procedures and sedated/non-sedated diagnostic services. Act as the primary point of contact for coordinating single or multiple service needs, scheduling, collecting pertinent clinical and demographic data. Provide excellent communication to providers, ancillary service team members, and patients to ensure successful patient experience and service outcome.
Schedule: Full-Time, 8:00 AM-4:30 PM Monday-Friday

MAJOR RESPONSIBILITIES & DUTIES:
Surgical procedure scheduling:
- Schedules surgery date with the patient based on scheduling requests from electronic health record (EHR), or faxed scheduling forms, properly documenting into EHR. Verifies and documents site/side with surgeon, patient, chart, and family.
- Collects and/or verifies insurance information, companies, and account numbers, with the patient and corrects any discrepancies in the EHR.
- Verifies that surgeon holds appropriate surgical privileges for procedure proposed and coordinates physician time if more than one surgeon is needed.
- Works closely with the anesthesia department to facilitate room coverage.
- Notifies the Manager Surgery Scheduling of any major changes in the schedule and documents any specific equipment requests. Notifies the Surgery Center as needed.
- Informs patient of needed history and physical and initiates patient education. Sends pre-op history and physical orders to designated primary care provider.
- Schedules surgical cases and medical admissions based on information transmitted via EHR and/or faxed from provider offices.
- Pulls and processes all fax transmittal's and scans patient reports as directed.
- Arranges/ verifies pre op appointments scheduled, reviews surgery process, initiates patient education.
- Notifies all appropriate staff of details regarding surgery changes or conflicts, including device representatives.
- Emails surgery information packets to patient or their family.
- Contacts physicians as needed and notifies Pre-admission staff and hospital OR and Floor staff of problems.
- Verifies and documents site and side with physician/ scheduling document and patient.
- Verifies insurance coverage account numbers and enters them into the EHR.
- Reviews operating room schedule in EHR daily, assigning, coordinating, and adjusting operating rooms and surgery times as appropriate.
- Schedules post op appointments as needed.
Outpatient diagnostic testing:
- Accepts orders from internal and external provider sources via electronic, fax or verbal routes validating medical necessity and indication for sedated and non-sedated testing as well as priority for scheduling.
- Coordinates with necessary Ancillary departments or Inpatient Medical Unit to determine availability of necessary resources taking into consideration additional testing or services ordered and to be received on the same date of service to make the visit as efficient and effective as possible (ex: GI clean outs, sleep studies, EEG, EMU, and other services as identified).
- Enters all non-electronic orders into necessary clinical based system following necessary documentation requirements.
- Pulls and processes all fax transmittal's and , scans patient reports as directed.
- Collect and verify insurance information, companies, and account numbers with the patient; correct any discrepancies in the EHR.
- Refers patients to Financial Counselor for services when needed.
- Creates patient plan outlining ordered services, scheduled date, time services are scheduled to take place and location for patient to present for check-in.
- Willingly provides overflow assistance to cover other roles within the department as needed. Including but not limited to: managing and working departmental work queues, utilizing electronic health record (EHR) to schedule patients for medical appointments, via telephone, portal or in person, using provider scheduling protocols and best efforts to accommodate patient preferences and answering phone calls in an acceptable amount of time, accurately entering staff message/phone messages into the EHR.
REQUIRED QUALIFICATIONS:
- High school diploma or equivalent required.
- Minimum of 2 years of experience with medical terminology required.
- Prior working knowledge of using personal computer required.
