Job Description

Position Description: The Oklahoma Supreme Court is seeking dedicated, detail-oriented, and proactive Administrative Assistant to work in the Referees’ office. Referees are central staff lawyers who serve the Supreme Court and submit written reports to the Court and conduct hearings. The ideal candidate will have experience with civil legal terminology and procedures, docketing, editing legal documents, case management, electronic filing and organization of documents, and possess a strong team mentality to ensure efficient operation of Referee’s office.

Salary: Commensurate with education and experience.

FLSA Exemption: Exempt

Responsibilities and Essential Functions will include (but not be limited to) the following:

  • Work closely with the Referees to proof and edit work product.

  • Work closely with the Chief Justice and Court Clerk.

  • Schedule in-person and telephone hearings, assign new cases, prepare and file Court orders, prepare weekly distributions to Justices or as required.

  • Interact with the public, attorneys, and litigants in person and on the telephone on a regular basis and answer general inquiries.

  • Process and track/manage new cases, handle docketing of cases, review and proofread memorandums, orders, and other documents.

  • Maintain confidentiality of information, work product, and reports in compliance with legal expectations.

  • Have a general knowledge of Supreme Court Rules and other practices of the Court.

  • Conduct other general support functions for the Referee office and other duties as assigned by the Court and Referees.

Knowledge, Skill, and Ability Requirements:

  • Proficiency in Microsoft Word, Outlook, Teams, and electronic case management system.

  • Proficiency in creation of documents, tables, and indexes.

  • Excellent spelling, grammar, and communication skills.

Education and Experience Requirements:

  • Legal secretary or equivalent experience preferred.

  • Appellate experience or paralegal experience strongly encouraged.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, photocopiers, and smartphones.

Physical Demands: While performing the duties of this job, the employee is regularly required to talk, hear, comprehend, observe, and evaluate. Specific vision abilities required by this job include close vision and ability to adjust focus. This position requires the ability to lift files, open filing cabinets, operate standard office and computer equipment, and bend or stand on a step stool as necessary.
