PRIMARY DUTIES & RESPONSIBILITIES
Hiring Range: $30.89-$38.61/Hourly.

The Support Specialist Executive for the Community Relations Section within the Chief’s Office performs a variety of clerical duties with highly visible contact. This position reports directly to the Community Relations Chief Executive.
PRIMARY DUTIES & RESPONSIBILITIES
Prepares, issues, and monitors departmental documents requiring technical and advanced knowledge of departmental functions
Maintains, tracks, and reconciles monthly purchasing card transactions
Takes, prepares, and distributes minutes of meetings
Schedules and maintains calendars of activities and meeting to include management of Manager’s calendar.
Takes and transcribes meeting minutes
Responds to inquiries from the public, department divisions and members of commissions and communities.
Assists in preparations for community special events
Creating and implementing projects and programs as directed.
Composes, proofreads, and formats a variety of documents that include letters, proclamations, memoranda, and reports.
Maintains, modifies, and updates database information for specialized division functions.
Works with the Communications Department with creation of flyers and brochures
Provides additional complex administrative support

MINIMUM QUALIFICATIONS & WORKING CONDITIONS
Education:
High school diploma or GED
Experience:
3 years of executive level assistance experience including data entry and customer service experience
Preferred Qualifications:
Experience working in a judicial or law enforcement environment
Knowledge:
Advanced Microsoft Office Suite
Apps Training
AIM training
Knowledge of office practices and procedures
Manual and computer filing systems
Advanced knowledge of business English, spelling, and math
General office equipment, and personal computer with related software applications
Purchase Card Training
Skills:
Efficiently and accurately key information using a keyboard and skills in performing data entry
Strong interpersonal and organizational skills
Composition grammar and spelling
Demonstrate proficiency in computer applications including word processing, spreadsheets, report generation and maintenance of databases.
Abilities:
Establish and maintain effective working relationships with employees and citizens
Communicate effectively verbally and in writing
Understand oral and written instructions
Handle stressful situations with tact and diplomacy
Work well under pressure and meet deadlines with little supervision

WORKING CONDITIONS
Occasional Standing/Walking- Occurs up to 31 minutes to 2.5 hours per shift
Essential Personnel:
When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.
Physical Demands:
Medium work that involves moving no more than 40 pounds with or without assistance at a time
Frequent lifting, carrying, walking, and standing
Hand/eye coordination to operate computer keyboard
Vision to read and interpret reports, documents, and other written information
Frequent speech communication and hearing to maintain communication with employees and citizens
Work Environment:
Works primarily in clean, comfortable office/cubicle environment with shared equipment
Equipment Used:
Frequently uses computer keyboard and telephone, fax machines, and copier
This position may require the incumbent to occasionally use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment
