Under the direction of Medical Director, Clinic Director and Program Manager is responsible for a variety of duties involving direction, coordination, and supervision of Patient Service Office, medical secretaries and front desk staff activities to ensure the efficient triaging scheduling of patients and registration of patients.I. Major Responsibilities:
1. Oversees and monitors established systems for patient triage and scheduling including build and maintenance of master templates for providers
2. Monitors the patient triage and scheduling process to ensure high quality customer service.
3. Coordinates assignment of supervised staff for cross-coverage as needed, to ensure smooth functioning of clinic.
4. Oversees and monitors established systems for patient registration.
5. Monitors the registration process to ensure high quality customer service.
6. Monitor phone service level to ensure high quality customer service.
7. Work to resolve EPIC or other related IS issues, monitor and ensure work queue are maintained worked timely. May be assigned EPIC superuser for the Clinic.
8. Oversees the collection of patient co-payments. Ensures efficient processes to support billing, to include the preparation, the collection of co-payments from patients deposit and daily cash, monitor and maintain work queue ensuring resolution in a timely manner, ,etc.
9. Assists with the review and audit of billing discrepancy and/or revenue reports and researches errors for resolution as directed by office, clinical management or direct supervisor. May oversee scrubbing of patient encounter information and electronic submission if required by staff under direct supervision.
10. Under the Direction of the Program Manager and Clinic Director, address/escalate patient concerns and complaints
11. Ensures adequate inventory of office supplies and the basic maintenance of office equipment. Re-orders and coordinates with Purchasing, vendors, as required. Coordinates efforts for basic facilities maintenance activities.
12. Responsible for processing the weekly time reporting for assigned personnel including administrative and clinical staff.
13. Performs special projects assigned by Director and/or Program Manager to improve patient access.
14. Participates in special projects such as CLIA and Point of Care Testing.
15. Oversees the administrative functions for addition or elimination of programs
16. Provide all EPIC related training and oversight of assigned personnel. Coordinates other training activities as needed.
17. Ensures scanning of medical records and related materials. Complies with Clinic and system policies regarding release of patient information.
18. Ensures compliance with regulatory agencies, etc. Develops and maintains procedures necessary to meet regulatory requirements.

Position Qualifications:
License/Certification/Education:
Required:
1. Associate degree in Business Administration or equivalent.
Preferred:
1. Bachelor’s degree in a Human Services field.
Experience/Skill:
Required:
1. Three years of relevant experience.
2. Two years of progressive leadership experience in registration/verification processes required or demonstrated skills to succeed in all aspects of office management.
3. Ability to work independently with minimal supervision.
4. Ability to coordinate and organize multiple functions and activities.
5. Requires the ability to use specialized applications, software and computer systems. Strong organization skills, excellent interpersonal skills, demonstrated expertise in area of responsibility as well the ability to solve complex problems.
Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
