Position Overview
Agile Defense is seeking a Subcontract Specialist to support the administration and management of subcontracts and vendor agreements in support of Federal Government prime contracts. This role is focused primarily on subcontracting, vendor management, and purchasing compliance, and is well-suited for an early-career professional looking to grow in federal subcontract administration.
The Subcontract Specialist will work closely with internal teams—primarily Procurement, Contracts, Finance, Operations, Pricing, and Security—to support compliant subcontract execution and vendor management under the guidance of senior procurement and subcontract professionals.

Key Responsibilities
•Support subcontract and vendor agreement activities from intake through closeout in coordination with Subcontract Administrators, with opportunities to progressively develop toward managing an independent subcontract portfolio.
•Review Purchase Requisitions (PRs) for completeness, accuracy, and compliance, and assist with processing associated Purchase Orders (POs) and Change Orders in accordance with applicable contractual terms, internal policies, and procedures.
•Prepare and administer subcontract-related contractual artifacts, including Non-Disclosure Agreements (NDAs) and Teaming Agreements (TAs), ensuring appropriate internal alignment prior to execution.
•Coordinate with cross-functional internal teams (Procurement, Contracts, Finance, Pricing, Operations, and Security) to validate requirements, resolve issues, and support timely subcontract execution.
•Support vendor onboarding and ongoing vendor management, including collection and validation of representations, certifications, compliance questionnaires, and required disclosures.
•Maintain compliant subcontract files and systems of record to support audits, reporting requirements, and internal and external data calls.
•Assist in the development and maintenance of subcontract summaries, internal contract briefs, and management artifacts.
•Identify discrepancies or gaps in documentation and escalate issues to appropriate stakeholders for resolution.
•Contribute to the development and continuous improvement of subcontract templates, processes, job aids, and workflow documentation.

Education, Experience & Certifications
•Education: Bachelor’s degree preferred in Business Administration, Contracts Management, Finance, Supply Chain, or a related field.
•Experience: Minimum of 1–2 years of experience in subcontracts, procurement, contracts administration, or a related role.
•Certifications: Not required; NCMA or other acquisition-related certifications are a plus.
Basic Qualifications
•Experience supporting subcontracts or vendor agreements in a Federal Government contracting environment.
•Strong organizational skills and attention to detail, with a demonstrated commitment to consistency and quality in work output while managing multiple priorities.
•Excellent written and verbal communication skills, with the ability to guide and support others with professionalism, patience, and kindness during coordination and problem-solving.
•Ability to work independently while collaborating effectively with cross-functional internal teams to achieve common goals.
•Strong sense of accountability and professionalism when handling sensitive or proprietary information.

Preferred Skills
•Familiarity with subcontract compliance concepts (e.g., flowdowns, representations, certifications).
•Experience supporting vendor onboarding and compliance documentation.
•Ability to balance competing priorities and meet deadlines in a fast-paced environment.
•Comfort working in a remote environment with guidance and oversight while maintaining responsiveness.
