Job Description

GENERAL DESCRIPTION:

The Texas Division of Emergency Management (TDEM) is an emergency response entity, and this status can affect working hours, travel and change in duties as needed. Under general direction, the Student Worker, Region 8 is responsible for assisting Region 8 with general office duties that include, but are not limited to, assisting with mail operations and logistics, monitoring and tracking orders, face-to-face interactions at the reception desk area, and general coordination of the workflow within an office as needed.

 

Work is restricted to college students. Priorities or class schedules to be submitted on a weekly basis. Work schedule and work adjustments subject to prior approval. Work is performed at the TDEM Region 8 Headquarters (RELLIS) located in Bryan, Texas. 

 

**This position is not eligible for benefits. Work hours may increase from, up to 19 hours, to up to 40 hours, in-between semester breaks.  

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Performs clerical duties, such as faxing documents, making copies, printing documents, scanning, preparing correspondence, coordinating, and scheduling meetings, scribing during meetings, retrieving/delivering mail, and messages.

  • Assists with logistic functions by maintaining, receiving, and delivering goods on time. Monitors and tracks incoming and outgoing orders.

  • Ensures delivery of packages is received in accordance with logistics protocols/schedule and are stored in a secure area. May retrieve packages in a prompt manner when packages are delivered to an unsecured area.

  • Provides first line of customer service to the public and employees in the reception desk area.

  • Notifies supervisor of any missing orders and shipments and assists with identifying and resolving the issue.

  • Schedules pickup by shipping entities. (USPS, UPS, FEDEX)

  • Runs general errands that may require the ability to go from one location to another (i.e., shipping facility or TDEM warehouse) during working hours.

  • Provides assistance and support to the logistics team and warehouse team as needed.

  • Ability to travel (5%).

  • Performs related work as assigned.

  • Face-to-face and person-to-person interactions are required.

  • Maintains a regular course of attendance during authorized work schedule and work extended hours when needed.

MINIMUM QUALIFICATIONS:

Education – Current student status with an institution of higher education or future student enrollment status for the upcoming school semester.

 

Students pursuing a degree in logistics or business-related field of study are preferred.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Strong organizational skills and ability to manage multiple projects simultaneously.

  • Strong and effective communication skills.

  • Proficiency in Microsoft Office Suite.

  • Ability to anticipate and identify issues and problem solve.

  • Ability to work independently.

  • Ability to communicate with tact and diplomacy.
