GENERAL DESCRIPTION:

The Texas Division of Emergency Management (TDEM) is an emergency response entity, and this status can affect working hours, travel, and change in duties as needed. Under general direction, the Student Worker will assist the Office of the Chief Financial Officer (CFO) with general office duties and provide support to the staff under the Office of the CFO. Duties may include filing documents, data entry, tracking accounts in the ticketing system, research discrepancies on invoices, coordinating, and assisting with special projects.  

 

Work is restricted to college students. Priorities or class schedules to be submitted on a weekly basis. Work schedule and work adjustments subject to prior approval. Work is performed at the TDEM Headquarters located in Austin, Texas.

 

*Hourly rate is at a fixed rate.

**This position is not eligible for benefits. Work hours may increase from, up to 19 hours, to up to 40 hours, in-between semester breaks.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  • Assists with inventory and identifying when supplies are running low, ensuring that necessary materials are readily available to support the division’s operations.

  • Assists with various reporting functions.

  • Performs clerical duties, such as faxing documents, making copies, printing documents, scanning, preparing correspondence, coordinating, and scheduling meetings, scribing during meetings, retrieving mail, and messages.

  • Support the Executive Assistant to the CFO in day-to-day tasks and operations.

  • Provides support and contributes to division projects.

  • May shadow staff within the divisions under the Office of the CFO in different functions and roles to learn about the fundamentals of the different divisions under the CFO.

  • May assist with duties such as scheduling interviews, printing and preparing interview materials, etc.

  • Face-to-face and person-to-person interactions are required.

  • Maintains regular course of attendance during authorized work schedule.  

  • Performs other related duties as assigned.

MINIMUM QUALIFICATIONS:

 

Education – Current student status with an institution of higher education or future student enrollment status for the upcoming school semester.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Strong organizational skills and ability to manage multiple projects simultaneously.

  • Strong and effective communication skills.

  • Ability to multitask.

  • Proficiency in Microsoft Office, Microsoft Word. Microsoft Excel and other operating systems, and devices.

  • Ability to understand and apply basic functions and roles under the Office of the CFO.

  • Ability to anticipate, identify issues, and problem solve.

  • Ability to communicate with tact and diplomacy.
