The role at a Glance
The Student Worker I provides general administrative support to assist with the organizational needs of the Law Enforcement and Protective Service programs to include the Central Texas Police Academy, Forensic Science Academy, Criminal Justice Academy, General Law Enforcement Training, and the Explosives Safety Program. General responsibilities for this role include classroom preparations, shipping, digital content library updates, and student enrollment assistance. Answers multi-line telephone and screens calls for proper routing. Operates standard office equipment, assists in data collection, posts and maintains files and records, and assembles and distributes materials. May assist in the preparation and proofing of materials for reports and other publications. Maintains program inventories and orders classroom/training materials when necessary. In addition to procedural activities, this position provides support to ongoing program and division projects and initiatives that will positively impact the organization.
This position reports to the Training Director.
Qualifications of the Role:
High School Diploma or GED and current enrollment in an undergraduate degree-granting program at an accredited college or university.
Must have a valid motor vehicle operator’s license or ability to obtain within 30 days of employment.
Essential Duties, Tasks, and Percentages:
LEX Programs Office Assistance – 80%
Serves as the initial customer service point of contact including greeting visitors, directing students, and answering/transferring phone calls.
Responds to customer service inquiries via phone and email.
Copies, scans, files, sorts, and compiles records and documents.
Enters and maintains accurate data in relevant databases, spreadsheets, and SharePoint.
Sorts and distributes mail.
Assists with inventory management.
Assists with purchasing equipment, supplies, and class materials.
Assists full time staff with the administrative requirements of the program areas.
Enters student data information utilizing agency student management system.
Produces copies and performs all scanning requirements for class participants and records retention.
Verifies students have met certificate requirements.
Submits certificate request to the Print Shop after verification.
Utilizes state vehicles to run local program errands.
Other Divisional/Program Responsibilities – 20%
Registers students into the appropriate classes.
Answers inquiries regarding registration and assists with registration.
Assists with preparing and mailing course materials.
Assists with updating computers and course equipment.
Assists with preparing for audits.
Utilizes a state vehicle to run departmental errands.
Maintains and safeguards assigned divisional equipment and property.
Enters student data information utilizing agency student management system.
Assists with updates for outreach material and research for curricula.
Participates as beta tester for online course development.
Assist supervisors with projects that need to be completed.
Performs additional work duties as assigned.
