Front Office Coordination & Student Engagement (25%)
Serve as the first point of contact for students, faculty, and visitors, providing professional and welcoming service.
Respond to inquiries via phone, email, and in-person, ensuring accurate information and warm handoffs.
Maintain current knowledge of academic programs and student services to effectively triage and resolve inquiries.
Coordinate scheduling student meetings for the Associate Dean and academic advisors.
Oversee student-facing services such as locker assignments, scrub checkouts, and general front office presentation.
Office Operations & Records Management (25%)
Manage student records and digital filing systems, ensuring accuracy, confidentiality, and annual updates.
Maintain and update the Student Affairs SharePoint site and weekly student communications.
Assist with policy updates, including the student handbook and website content.
Ensure accessibility compliance across digital platforms and documents.
Provide clerical support including inventory management, mail handling, copying, and data entry.
Take meeting minutes and support committee documentation as needed.
Serve as support contact for Registrar for transcript verifications and updating student name changes.
Admissions and Compliance Management and Support (25%)
Assist with transcript evaluations and serve as an application reader during admissions cycles.
Manage consortium agreements for community college partnerships.
Oversee onboarding and compliance tracking for graduate students, including background checks, certifications, and licensure. Manage student holds related to compliance.
Administer color blindness screenings and support compliance for undergraduate students as needed.
Support scholarship processes through data management and student communication.
Administrative and Project Coordination (25%)
Provide logistics support for major student events such as New Student Orientation and Student Recognition Ceremony.
Manage event registrations, room reservations, catering, signage, and materials
Support campus tours, student ambassador scheduling, and visitor coordination.
Assist with special projects and initiatives assigned by the Dean or Associate Dean.

Required Qualifications
Work Experience:
4 years of experience in administrative support, student services, or office coordination. Education can substitute on a year for year basis.
Experience with Microsoft Office Suite
Preferred Qualifications
Education:
Bachelor’s degree in a related field
Work Experience:
2 years of experience working in a higher education or healthcare academic setting.
1 year of experience working with student compliance systems such as Validity or Clinical Student
1 year of experience working with SLATE Application tool

Compensation Statement:
The pay range listed for this position is determined by our compensation program using market data and salary benchmarking. A combination of factors is considered in making compensation decisions including, but not limited to, education, experience and training, qualifications relative to the requirements of the position, and funding. At the University of Kansas Medical Center, a reasonable estimate for the starting pay range will be the minimum to midpoint of the posted range, taking into account the combination of factors listed above.
