Your role

The Student Engagement and Administrative Officer plays a key role in supporting the academic success and engagement of students enrolled in the RMIT English Program within the School of English & University Pathways (SEUP). This position provides comprehensive academic and administrative assistance to ensure smooth delivery of classes and learning activities. Core responsibilities include coordinating Placement Test activities, coordinating class-related processes such as student records management, preparation of teaching materials, support for teachers during lessons and assessments, and ensuring clear communication between students, training units, and program leadership. The officer collaborates closely with the Centre Manager, Academic Lead and teaching staff to provides onsite operational support, facilitates surveys and reporting, and assists with student engagement activities to ensure smooth course operations and a positive learning experience.

Reports to: Centre Manager (Danang)

Key Accountabilities

  • Coordinate placement testing, class list preparation, timetable scheduling, exam materials, briefing sessions, and maintenance of accurate student records to ensure smooth program commencement and delivery.

  • Support course setup processes, including enrolment management on SAMS, student account activation, and classroom allocation to ensure operational readiness.

  • Manage attendance tracking, survey administration, reporting requirements, and timely student communications in line with compliance and quality standards.

  • Provide on-site administrative support during classes, assessments, and end-of-course processes to ensure efficient execution and a positive student experience.

  • Monitor and maintain learning resources and office inventory, ensuring adequate stock levels and timely replenishment.

  • Liaise effectively with the Academic Lead, teachers, Centre Manager, Embassy representatives, and base staff to coordinate facilities, IT/network matters, and classroom-related operational issues.

  • Provide administrative support to students and teachers, including translation assistance where required, to facilitate effective communication and class operations.

  • Assist with procurement processes in accordance with organisational policies and under the supervision of the Student Engagement and Administrative Officer.

  • Undertake additional duties as directed by the SEUP Da Nang Centre Manager to support high-quality program delivery and continuous improvement.

Key Selection Criteria

  • Bachelor’s degree in a related field.

  • At least 2 years’ experience in customer service and administration roles.

  • Demonstrated experience in education, student services, or administrative roles, preferably within a structured academic environment.

  • Proven proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with digital tools that support teaching, learning, and program administration.

  • Strong administrative and organisational skills, with evidence of effectively managing competing priorities and maintaining accurate records.

  • Confident and professional communication skills in both Vietnamese and English (spoken and written), with the ability to engage clearly with students, staff, and external stakeholders.

  • High level of attention to detail, with demonstrated ability to meet deadlines and maintain compliance with policies and procedures.

  • Comfortable working within a structured, compliance-focused environment, with an understanding of quality assurance requirements in education settings.

  • Proven ability to work both independently and collaboratively as part of a team, contributing positively to shared goals.

  • Professional conduct aligned with organisational values, including a demonstrated commitment to excellence, innovation, inclusion, and agility.

  • Willingness and flexibility to undertake additional responsibilities as assigned by the Centre Manager to support effective program delivery.

  • Contract duration: 12 months

  • Working location: Nha Trang (to support two off-site training projects)

  • Workload: 30 hours/week

English Proficiency

English is the language of teaching and communication at RMIT Vietnam. For this role, the minimum requirement is IELTS General 5.5 (or equivalent CEST 150).
