JOB SUMMARY
The Strategic Initiatives Operations Specialist supports the day-to-day operational execution of company-wide strategic housing initiatives. This role works closely with the Director of Strategic Initiatives and Strategic Initiatives Operations Manager to assist with resident-facing operations, application processing, account management, and ongoing resident support.
Strategic initiatives require manual workflows, detailed documentation, and high-touch communication. This role is responsible for supporting the full resident lifecycle from prospect inquiry through lease term completion, ensuring a consistent and high-quality resident experience.
ESSENTIAL FUNCTIONS
Serve as a primary point of contact for initiative prospects and applicants.
Provide high-touch communication to initiative applicants and residents.
Guide applicants through documentation and eligibility requirements.
Perform manual intake, review, and processing of applications.
Track application status and follow through to completion.
Coordinate with Lease Administration to ensure correct lease setup, concessions, and documentation.
Assist with move-in coordination and readiness.
Monitor resident ledgers for initiative participants.
Review concessions and ensure accuracy.
Identify and escalate delinquency concerns.
Assist residents with account-related questions and payment guidance.
Coordinate with Resident Accounts to resolve billing issues.
Maintain accurate documentation of account activity.
Monitor work orders for initiative residents.
Track service requests and follow up on outstanding issues.
Identify repeat maintenance concerns and escalate appropriately.
Monitor resident complaints and ensure timely follow-up.
Coordinate with Service teams to support resolution.
Maintain ongoing communication with initiative residents.
Support distribution and collection of required documentation (e.g., check-ins,employment verification, eligibility letters, etc.).
Assist in tracking compliance with program requirements.
Support renewal communication and eligibility verification.
Ensure residents receive consistent, high-quality service throughout their lease term.
Ensure timely resolution of resident issues.
Support execution of initiative workflows across departments.
Assist in maintaining process consistency.
Maintain manual tracking systems for initiative residents.
Assist with data entry and documentation management.
Support preparation of reports and summaries for leadership.
Assist with organization of initiative files and records.
QUALIFICATIONS
1 - 3 Years of Experience in leasing, resident services, or property management operations
3 Years of Experience with customer communication and case management
Strong organizational and multitasking skills
Ability to manage detailed, manual workflows
Strong communication skills
Experience with resident accounts or lease processing
Experience handling escalated customer concerns
Customer-focused mindset
Strong attention to detail
Elective communication skills
Ability to manage multiple tasks and priorities
Problem-solving and follow-through
