Key Accountabilities:
Plan, manage, and coordinate documentation and activities related to large‑scale meetings with internal and external stakeholders. Responsibilities include preparing meeting materials, ensuring process alignment, maintaining and updating participant lists, tracking and following up on action items, and distributing post‑meeting communications in support of the Stakeholder Business Relations Program
Review, update, and develop documentation to support the Business and Stakeholder Relations group, including managing existing content, updating manuals, meeting established publication timelines, documenting processes, designing workflows, creating templates and checklists, contributing to dashboards, and ensuring consistency and standardization of language and formatting.
Conducting research assignments and preparing project reports or documents using desktop publishing tools. This includes analysing the information and formulating recommendations for management on how to proceed.
Researching, developing and retaining an extensive national contacts database and calendar of industry events.
Liaising with internal and external contacts on a national scale on a variety of initiatives.
Supports SCR team members for SharePoint Online related issues.
Other related duties from a functional perspective.
Education:
Post secondary education in a related field of study such as professional writing, project coordination, administration, event planning, or others or a minimum of 5 years’ related experience.
Experience:
Experience in coordinating and planning aspects of large-scale meetings, events and sponsorships.
Experience conducting background research to analyze and synthesize a broad range of issues pertaining to the provision of program coordination services.
Experience in writing topic-based content in multiple formats to support consistent messaging.
Operational experience in the aviation industry may be considered an asset.
Knowledge:
Knowledge of general administrative practices, work organization, and activity monitoring
Knowledge of coordinating and planning aspects of large-scale meetings and events.
Advanced knowledge of MS365 Office Suite including Word, Excel, PowerPoint, Outlook, SharePoint Online, Forms and good knowledge of MS Project and Adobe ProSuite.
Knowledge of NAV CANADA’s mandate and role, awareness of priorities and operational processes.
Knowledge of project management.
Basic knowledge of aviation industry and terminology.
Abilities:
Proven ability to manage time effectively and prioritize competing priorities
Convert complex information into clear, concise, plain language.
Ability to develop correspondence, reports, backgrounders, presentation material and other products.
Ability to perform web-based research, optimizing search engine capabilities and information seeking tools to locate current, credible and topic-relevant information on the web.
Communicate effectively orally and in writing for the intended purpose and audience.
Demonstrated ability to exercise sound judgment and maintain an open mind
Ability to facilitate review sessions with management.
Adapt to changing priorities, work under minimal supervision, work in both team and individual settings and handle multiple concurrent tasks.
Personal Suitability:
Demonstrated interpersonal skills enabling effective relationship management with tact, diplomacy, discretion, and sound judgment
Initiative and ability to work under pressure, under changing circumstances, often involving conflicting priorities and tight deadlines.
Attention to detail over prolonged periods.
Working conditions:
This position is a hybrid position with a minimum 3 days per week on site
May be required to travel for training and offsite meetings.
