This role combines stakeholder relationship management with design coordination to ensure that project designs are aligned with stakeholder expectations, regulatory requirements, and the strategic goals of the client.
Key Responsibilities:
Stakeholder Engagement and Relationship Management
- Build and maintain strong relationships with all project stakeholders, including government agencies, local authorities, consultants, contractors, and community representatives.
- Act as the primary point of contact for stakeholders on design-related matters, ensuring that their concerns, requirements, and expectations are accurately captured and addressed.
- Organize and facilitate regular stakeholder meetings, workshops, and design review sessions to ensure alignment on project objectives, design intent, and progress.
- Manage stakeholder expectations by clearly communicating project constraints, timelines, and design implications.
Design Coordination
- Coordinate between the client, design consultants, and internal technical teams to ensure design requirements reflect stakeholder needs and project objectives.
- Review design submissions to check alignment with stakeholder requirements, project scope, and applicable codes and standards.
- Track and manage design comments, ensuring timely responses and incorporation into updated design packages.
- Facilitate interdisciplinary coordination (architectural, structural, MEP, infrastructure, and specialist disciplines) to resolve design clashes and interface issues.
- Support value engineering exercises to balance stakeholder expectations, cost efficiency, constructability, and design quality.
Regulatory and Technical Compliance
- Liaise with government entities and regulatory authorities to ensure that all designs comply with local codes, regulations, and planning requirements.
- Coordinate the preparation and submission of design documents required for permits, approvals, and licenses, ensuring timely responses to regulatory comments.
- Ensure that design outputs adhere to relevant standards, particularly those related to construction, infrastructure, urban development, and local planning guidelines.
Communication, Documentation, and Reporting
- Develop and implement a structured communication plan for design and stakeholder coordination to ensure consistent and transparent information flow.
- Prepare and deliver regular reports, presentations, and dashboards for the client and key stakeholders, highlighting design progress, key decisions, risks, and issues.
- Maintain clear records of stakeholder requirements, meeting minutes, decisions, approvals, and design changes.
- Escalate critical design and stakeholder issues to senior management with recommended options and resolutions.
Collaboration and Interface Management
- Work closely with internal departments (design, planning, construction, procurement, and project controls) to ensure alignment between design development and project execution.
- Coordinate with external consultants, contractors, and specialist suppliers to ensure their designs and deliverables meet stakeholder expectations and project timelines.
- Support tender and procurement processes by clarifying design intent and stakeholder requirements where needed.
Risk and Issue Management
- Identify risks related to stakeholder expectations, approvals, and design coordination that may impact scope, schedule, or cost.
- Develop and implement mitigation strategies to proactively address potential conflicts or delays.
- Monitor and manage design-related changes, ensuring proper change control, impact assessment, and stakeholder communication.
What Required Skills You’ll Bring
- Bachelor’s degree in Architecture, Engineering, Urban Planning, Project Management, or a related field.
- Minimum of 8 years of experience in stakeholder management, design coordination, or project management on large-scale building, infrastructure, or urban development projects.
- Proven experience coordinating multidisciplinary design teams and managing complex stakeholder environments.
- Experience working with government entities and regulatory authorities in Saudi Arabia is highly desirable.
- Strong understanding of the design process across project stages, from concept to detailed design and construction documentation.
- Excellent interpersonal and communication skills, with the ability to engage, influence, and negotiate with diverse stakeholder groups.
- Strong conflict resolution and problem-solving capabilities, particularly in balancing stakeholder interests with technical and commercial constraints.
