Minimum Hiring Annual Salary:

$44,187.00

Maximum Hiring Annual Salary:

$47,722.00

To attain the maximum annual salary, employee must meet all minimum qualifications plus:

  • 5 (five) years of additional applicable work experience and/or degrees higher than minimum qualification degree. Degrees higher than the minimum qualification degree can be used in combination with additional work experience.
  • A combination of related education, on-the-job work experience, certifications and/or licenses that results in a candidate successfully meeting the minimum qualifications of the position, may be considered.

The stated salary amounts are not guaranteed in the event employment ends with Aims during any fiscal year.

Job Description:

This position provides comprehensive administrative and operational support within the Allied Health & Wellness Division, with a primary focus on supporting the Director and Assistant Director of the Physical Education and Recreation Department. Responsibilities include coordinating operational, customer service, financial, and personnel functions. Key duties include scheduling academic courses and coordinating facility use; providing personnel support; managing budgets and maintaining financial records; and preparing requisitions for equipment and supplies.


The position also supports departmental personnel by managing enrollment data, ordering required equipment, and producing classroom materials, syllabi, confidential rosters, evaluations, and promotional materials. Serving as a front-line resource associate, this role involves maintaining departmental records, compiling data, preparing correspondence and reports, and communicating effectively—both orally and in writing—with internal and external stakeholders. Additional responsibilities include performing other office and department-related duties as assigned for the department and the Allied Health and Wellness division.

Academic Scheduling & Course Management

  • Create and maintain the academic semester schedule of classes for the Physical Education and Recreation Department, including classroom and studio scheduling, course data, and course information forms.
  • Assist in creating and maintaining the academic semester schedules for other Allied Health programs as needed.
  • Maintain course data and course information forms.
  • Monitor class times to ensure courses align with block scheduling templates and meet required contact hours.
  • Maintain the course outline notebook and complete required documentation for new courses, course revisions, and course deletions.
  • Coordinate class offerings with external agencies.
  • Process all textbook orders for Physical Education and assist other Allied Health & Wellness departments as needed with textbook ordering.

Enrollment, Payroll, and Personnel Administration

  • Compile, track, and report enrollment data.
  • Administer adjunct faculty payroll in Workday
  • Generate reports to track expenditures and operational costs.

Budget & Financial Support

  • Assist in the development of the annual department budget.
  • Monitor and track departmental expenditures, including procurement card transactions and supporting documentation.
  • Purchase supplies and process payments for the Physical Education office and other Allied Health departments as needed using procurement cards and or purchase requisitions.

Systems & Reporting

  • Manage the recreation software programs (Fusion, Connect2Concepts) that track participation rates for facilities, curriculum, and intramural sports programs.

Faculty, Facility, and Program Support

  • Provide general departmental support, including answering phones, updating web pages, and responding to email inquiries.
  • Assist with data collection and signature coordination
  • Create and distribute department advertisements, posters, flyers, and facility hours schedules as part of promotional campaigns.

Facilities, Equipment, and Front Desk Operations

  • Oversee maintenance of all equipment in the Physical Education and Recreation Center by coordinating routine cleaning and outsourced maintenance (Sport & Fitness).
  • Perform front desk reception and instructional support duties, including assisting students and faculty during times when leadership or full-time faculty are unavailable.
  • Provide support for Advisory Committee meetings, including scheduling, food orders, tent cards, and completion of Official Functions Forms.

Other Duties as Assigned

Minimum Qualifications:

  • Associate's Degree in a related field; plus, three years of related experience or an equivalent combination of education and/or work experience.

  • Experience in a high-traffic office in higher education or a similar customer service venue.

  • Demonstrated ability in Microsoft Office Products, records management, and office management.

  • Experience with Workday.

  • Knowledge of budget and accounting practices; excellent communication and interpersonal skills; and the ability to work as a team member. Experience working in a high-traffic office environment within higher education or a comparable customer service setting.

  • Demonstrated proficiency with Microsoft Office applications and Windows operating systems, including records management and general office administration.

  • Experience using Workday for administrative and operational functions.

  • Working knowledge of budget and accounting practices; strong written and verbal communication skills; and the ability to collaborate effectively as a member of a team.

Preferred Qualifications:

  • Experience working in a Community College setting.

  • Bilingual proficiency in Spanish and English.

  • Ability to work independently while also collaborating effectively as part of a team.

  • Strong problem-solving skills and the ability to exercise sound judgment in a dynamic work environment.
