Position Details
The Office of Student Leadership and Engagement at The University of Tampa has a full-time position available for a Staff Assistant II to provide primary administrative support for seven professional staff members. This position reports to the Director of Community Engagement. As a member of the Office of Student Affairs, this position will uphold the values of diversity and inclusion, collaboration, personal responsibility, professionalism and community and citizenship. The work of this position will intentionally align with strategic priorities to advance the mission and vision of student affairs which results in student learning and support for students to grow as global citizens.
This position is designated as an essential employee and may be required to report to work as scheduled when University offices are closed due to severe weather or other conditions.
Responsibilities
1. Provide primary administrative services for the Office of Student Leadership and Engagement.
2. Provide quality customer service for students, faculty, staff, families, alumni and external constituents.
3. Maintain office budgets including generating and monitoring budget reports and communicating with Financial Management staff.
4. Workday implementation including financial and student employment.
5. Hire, train and supervise student desk assistants who will assist with office operations.
6. Hire, train and supervise building managers including 2 leads and facilitate 1-on-1 meetings and group trainings, oversee Spartan Club and Vaughn Center tabling.
7. Hire, train and supervise student coordinator of registered student organization finances who assists with financial processing.
8. Support Coordinator of Student Engagement with Registered Student Organization (RSO) finances.
9. Provide secondary support in conjunction with Events Services staff for all scheduling of conference rooms, theater, lobby, and courtyard of the Vaughn Center (first and second floors) and building operating hours with other departments.
10. Design and implement policies, guidelines, and protocols for the use of the Vaughn Center in conjunction with the Coordinator of Student Engagement.
11. Oversee the rental of commuter lockers and bus passes.
12. Manage on-campus car rental program.
13. Oversee posting policy for departments and community members.
14. Order office supplies and submit work order requests to facilities and information technology and security.
15. Support SG funded student organization leaders on budget procedures.
16. Revise department webpages and manage department e-mail accounts.
17. Track and analyze student participant trends through Engage UT.
18. Assist with Engage UT problem solving including new student and RSO usage and event registration.
19. Participate in the planning and implementation of the annual Leadership Awards Night hosted by the Office of Student Leadership and Engagement and Fraternity and Sorority Life.
20. Attend trainings and fully engage in learning and utilizing university-wide technology, specifically WorkDay, and other department specific technology platforms.
21. Contribute to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of other cultures and backgrounds.
Qualifications
1. High School diploma required, some college preferred.
2. Three (3) years of administrative/office experience.
3. Excellent customer service skills required.
4. Knowledge of FERPA laws, as they pertain to private information.
5. Ability to maintain confidentiality.
6. Strong communication skills, well organized and detail-oriented, the ability to handle multiple tasks and to work with diverse populations including faculty, staff, students and families.
7. Finance background: strong math skills and problem-solving skills.
8. Knowledge of or the ability to learn quickly The University of Tampa software programs such as Workday and Microsoft Office.
9. Willingness to embrace new technologies and innovative organizational practices.

Work Schedule
Monday through Friday, 8:30 a.m. to 5:00 p.m.
Summer – Monday through Thursday, 8:00 a.m. to 5:30 p.m.
Occasional evenings and weekends may be required.
