The Travel Executive is responsible for end-to-end management of domestic and international travel, including ticketing, hotel bookings, event logistics, and visa processing for employees and business visitors. The Travel Executive is responsible for end-to-end management of domestic and international travel, including ticketing, hotel bookings, event logistics, and visa processing for employees and business visitors. The role ensures cost-effective, policy-compliant, and seamless travel experiences aligned with business requirements.
Key responsibilities
• Manage end-to-end flight, and ground transport bookings as per company travel policy and budgets.
• Handle hotel reservations, long-stay arrangements, and preferred property allocations for employees and guests.
• Coordinate logistics for internal and external events, conferences, offsites, and meetings (venue, stay, travel, F&B, local transport).
• Oversee visa processing: documentation, appointment scheduling, coordination with embassies/consultants, and tracking of applications.
• Maintain relationships and rate agreements with travel agencies, airlines, hotels, and transport vendors to optimize cost and service.
• Ensure all bookings comply with travel policy, approval workflows, and entitlement matrices, highlight and manage exceptions.
• Prepare and maintain travel MIS: booking logs, vendor reports, visa trackers, and monthly travel expense summaries.
• Provide proactive support for last-minute changes, cancellations, and travel disruptions, ensuring minimal business impact.
• Keep employees informed on itineraries, tickets, vouchers, and relevant travel advisories or requirements.
Qualifications and skills
• Graduate in Hospitality, Business Administration, Travel & Tourism, or related discipline.
• 6–8 years of experience in corporate travel / travel desk / TMC environment.
• Hands-on experience with GDS/booking tools (e.g., Amadeus, Sabre, Galileo) and online travel platforms.
• Strong coordination, communication, and stakeholder management skills, with high attention to detail.
• Ability to multitask, manage peak travel/event periods, and handle emergencies calmly.
• Proficiency in MS Excel, Outlook, and basic MIS/reporting.
Preferred attributes
• Prior experience managing CXO / senior leadership travel and VIP guest movements.
• Exposure to MICE / corporate events logistics and international visa handling
• Customer service orientation with a solution-focused approach.
