This position will be an evening role from 4p-12a Sunday through Thursday.
The Senior Systems Administrator – Email & Collaboration Services provides advanced technical leadership and operational oversight for the organization’s enterprise messaging and collaboration platforms, including Microsoft Exchange Online / Outlook, Google Workspace, and associated collaboration tools. This role is responsible for the architecture, administration, optimization, security, and reliability of email and collaboration services that support mission-critical communication across the institution.
The Senior Systems Administrator serves as a subject matter expert and escalation point for complex issues, leads platform modernization and integration efforts, and drives strategic enhancements to improve service performance, security posture, and user experience. The role partners with cybersecurity, identity management, and infrastructure teams to ensure secure, scalable, and resilient collaboration environments.
Enterprise Email & Collaboration Administration
• Architect, configure, and manage enterprise email and collaboration platforms including Microsoft Exchange Online, Outlook, and Google Workspace.
• Oversee system health, availability, and performance of messaging and collaboration services.
• Manage complex configurations such as shared mailboxes, resource mailboxes, distribution groups, permissions, and tenant-wide policies.
Platform Architecture & Optimization
• Design and implement scalable messaging and collaboration solutions aligned with enterprise architecture standards.
• Lead lifecycle management, upgrades, and modernization initiatives across email and collaboration environments.
• Evaluate and recommend new technologies, features, and integrations to enhance collaboration capabilities.
Advanced Troubleshooting & Incident Management
• Serve as the escalation point for high-severity or complex email and collaboration system issues.
• Lead root cause analysis for recurring incidents and implement long-term corrective actions.
• Develop proactive monitoring strategies to reduce system outages and service degradation.
Security, Compliance & Governance
• Implement and maintain email security controls including spam filtering, phishing protection, data loss prevention (DLP), and threat protection.
• Support compliance initiatives including retention policies, eDiscovery, legal holds, and audit readiness.
• Partner with Information Security to align with institutional security controls and risk management requirements.
Automation & Process Improvement
• Develop automation and orchestration solutions to streamline platform administration and reduce manual tasks.
• Standardize processes, enhance documentation, and create operational playbooks.
• Drive continuous service improvement initiatives based on performance metrics and user feedback.
Identity & Integration Support
• Collaborate with Identity and Access Management teams to support authentication, SSO, conditional access policies, and role-based access control.
• Support integration with collaboration platforms such as Microsoft Teams, Google Chat, OneDrive, and SharePoint.
Leadership & Mentorship
• Provide technical leadership and mentorship to intermediate and junior systems analysts and administrators.
• Serve as a key technical advisor to IT leadership on messaging and collaboration strategies.
• Support training initiatives and knowledge-sharing across IT teams.
Project & Strategy Leadership
• Lead enterprise projects related to email migrations, platform upgrades, coexistence environments, and system integrations.
• Contribute to roadmap development and long-term strategy for collaboration services.
• Prepare technical documentation, architecture diagrams, and project deliverables.
Minimum Qualifications
Education:
Bachelor’s degree in Information Technology, Computer Science, or related field (or equivalent combination of education and experience).
Experience:
5 years of experience supporting enterprise email and collaboration environments. Any relevant education, certifications and/or work experience may be considered.
Knowledge, Skills and Attitudes:
• Microsoft Exchange Online / Outlook administration
• Google Workspace Administration
• Microsoft 365 tenant management
• Email security systems (Proofpoint, Mimecast, or equivalent)
• Identity systems (Active Directory / Entra ID)
• Scripting and automation (PowerShell, Python)
• Email protocols and standards (SMTP, SPF, DKIM, DMARC)
• eDiscovery, archiving, and retention tools
• Experience with large-scale email migrations and coexistence strategies
• Knowledge of collaboration platforms (Microsoft Teams, Google Workspace Collaboration Suite)
• Familiarity with ITIL service management practices
• Certifications such as Microsoft 365 Administrator, Google Workspace Administrator, or related messaging certifications
