The University of Miami/UHealth Office of the Dean has an exciting opportunity for a Full Time Sr. Manager Sponsored Programs to work at the UHealth campus in Miami, Fl.

CORE JOB SUMMARY
The Senior Manager, Sponsored Programs directs and oversees all administrative and financial aspects of the Sponsored Programs division at the assigned facilities. The Senior Manager, Sponsored Programs operates with the goals of increasing sponsored funding levels and the output of funding proposal, as well as maximizing the use and efficacy of existing research funding dollars. Further, the incumbent develops and implements policies and methods that further these goals.

CORE JOB FUNCTIONS
1. Identifies potential donors or sources of funding and plans outreach strategies.
2. Participates in the development of grants applications and proposals.
3. Schedules and oversees planning for special events that publicize the organization and its programs to the community.
4. Trains, mentors, and supervises sponsored programs staff members, and prepares performance reports.
5. Negotiates contractual provisions with potential partners.
6. Develops and provides reports or documentation needed to secure and maintain funding and grants.
7. Ensures that grants and contracts adhere to organizational standards.
8. Acts as department expert and primary point of contact on funding issues and disputes.
9. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures.

Education:
Bachelor’s degree in relevant field required

Experience:
Minimum 7 years of relevant experience required

DEPARTMENT ADDENDUM

Department Specific Functions

Grants Administration & Proposal Development

  • Direct and oversee the preparation, submission, and management of federal, foundation, and industry-sponsored research grant applications.
  • Serve as subject matter expert on pre-award regulations, procedures, and application guidelines for federal, nonfederal, private, and internal sponsors.
  • Coordinate development of budgets for grant proposals and subcontracts, ensuring compliance with sponsor requirements and institutional policies.
  • Manage grant award transfers, carry forward requests, no-cost extensions, progress reports (RPPR), and closeout processes.

Industry-Sponsored Project Management

  • Represent the institution in budget and contract negotiations for clinical trials and industry-sponsored research.
  • Collaborate with revenue analysts, research staff, and external sponsors to activate studies and negotiate appropriate fees and protocol terms.
  • Oversee administrative management for neuroscience and other research programs, including financial management, strategic planning, and grants oversight.

Compliance, Reporting & Documentation

  • Ensure adherence to federal, state, and institutional regulations in all sponsored programs activities.
  • Develop and maintain internal tracking tools for budgets, spending, and effort distribution.
  • Facilitate effort certification, expenditure reporting, and financial status reporting for research staff and investigators.

Staff Training & Development

  • Lead employee training and onboarding, revise training materials, and conduct shadowing sessions to improve new hire proficiency.
  • Mentor and supervise sponsored programs staff, fostering professional growth and team effectiveness.

Collaboration & Strategic Outreach

  • Act as primary point of contact for investigators, research personnel, and external sponsors regarding sponsored programs policies and procedures.
  • Plan outreach strategies to identify potential donors or sources of funding and support special events that publicize research programs.
