The department of Psychiatry has an exciting opportunity for a full-time Sr. Manager, Research Support. The Sr. Manager, Research Support leads the center’s programmatic activities to ensure successful system implementation and monitoring of all research and training initiatives. Specifically, the Manager oversees the day-to-day operations and resources of research staff and faculty. The Manager ensures optimal functioning of the center to meet the institution’s goals of patient care, education, training, research, and communication. Further, the incumbent provides leadership and mentorship to scientific operations staff and guarantees compliance with institutional rules and regulations.
CORE JOB FUNCTIONS
- Conducts meetings with research staff and ensures functions are coordinated in a timely and accurate manner.
- Provides technical support and resolves operational problems.
- Writes and updates procedures and manuals and reviews them annually to ensure that employees have current information needed to perform tests and procedures.
- Oversees center budget and identifies areas of opportunity for cost reduction.
- Assists in the preparation and publication of manuscripts.
- Recruits and trains research staff; prepares performance reports and disciplinary recommendations for the leadership team.
- Collaborates with upper management to identify areas of opportunity and implements plans of action.
- Analyzes reports, data briefs, and auxiliary publications for new topic modules.
- Provides oversight for all center activities, including staff participation in health fairs to recruit and enroll volunteers in various studies; handling of home digital health devices; specimen collection, storage and processing; and data processing and curation.
- Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.
- Ensures employees are trained on controls within the function and on University policy and procedures.

CORE QUALIFICATIONS
- Bachelor's degree in relevant field
- Minimum 5 years of relevant experience

Department Specific Functions
- MA/MS/MBA Preferred
- Directs, establishes, and plans the overall policies and goals for the center’s operations.
- Supervises and trains approximately 15-20 center staff.
- Writes and updates procedures and manuals and reviews them annually to ensure that employees have current information needed to perform tests and procedures.
- Works closely with department management, investigators, and physicians to ensure the highest standards of quality and service.
- Collaborates with upper management to provide oversight for all center activities, including participation in health fairs to recruit and enroll volunteers in various studies, handling of home digital health devices, specimen collection, data processing and curation.
- Establishes and continuously assesses the effectiveness of the internal controls within the center and compliance with University policies and procedures. Ensures employees are trained on use of proprietary methods and tools for cloud-based data acquisition, curation and processing of home-based recordings.
- Interfaces with center faculty and staff to ensure achievement of project goals for all NIH-funded research projects and training grants in consultation with the Community Steering Committee.
- Interfaces with members of the community steering committee to assist in the execution of study protocols and obtaining access to recruitment sites.
- Ensures acquisition of adequate paperwork to support consultancy in various studies.
- Oversees development and management of lab technicians and students working on various experimental protocols implemented at Center’s laboratories including the Circadian Laboratory and Media Innovation Laboratory
- Oversees and manage all pre-award and post-award research administration functions, ensuring high-quality development, review, and submission of proposals, budget setup, monitoring, forecasting, and reporting.
- Provides strategic guidance to faculty and research teams on funding opportunities, proposal planning, budget development, and compliance requirements.
- Reviews proposals for accuracy, completeness, sponsor requirements, institutional policy alignment, and regulatory compliance prior to institutional submission.
- Coordinates internal routing, approvals, and communication with central Sponsored Programs or Grants Offices to ensure timely submissions.
- Develops and delivers training, templates, and tools that improve proposal preparation efficiency and reduce administrative burden for investigators.
- Monitors sponsor notices, announcements, and changes in regulations, informing research teams of relevant updates and funding trends.
- Leads process improvements for pre-award workflows, including standard operating procedures, timelines, and documentation practices.
- Ensures compliance with sponsor terms, federal regulations (e.g., Uniform Guidance), institutional policies, and audit requirements throughout award lifecycle.
- Provides expert guidance on allowability of costs, effort commitments, subaward management, procurement, and project modifications.
- Works proactively with PIs and departmental finance teams to resolve award management issues, reconcile expenses, and prevent compliance risks.
- Coordinates timely submission of progress reports, financial reports, no-cost extensions, rebudgeting requests, and other sponsor communications.
- Leads post-award closeout processes, ensuring final financial reconciliations, reporting, and archival of documentation.
- Identifies and implements process improvements to streamline award management and enhance service to investigators.
