PPD, now Thermo Fisher’s clinical research business, is a leading global contract research organization providing comprehensive, integrated drug development, laboratory, and lifecycle management services.

The Sr Facilities coordinator manages the daily operations and maintenance of the Shanghai office. This role ensures a secure, efficient working environment through coordinating Facilities support, managing vendors, and upholding company policies, while working closely with Facilities Management to deliver high-quality site services.

Key responsibilities:

  • Ensure the daily Facilities operation of the office runs timely and smoothly.
  • Manage access control and security systems to ensure a secure working environment.
  • Be responsible for the day-to-day Facilities-related operations of the office, including visitor reception, courier service management, the purchase of office supplies, and the management of fixed assets.
  • Coordinate with the landlord and property management to maintain good cooperation and ensure Facilities issues are resolved smoothly.
  • Manage service providers to ensure a safe, clean, and orderly working environment.
  • Handle facilities contract renewals and negotiations, and implement new contracts in the Shanghai office.
  • Conduct site audits and risk assessments to ensure compliance with relevant policies and procedures.
  • Respond to Facilities-related emergencies as needed.
  • Work closely with the line manager on all local Facilities-related matters.

Education and Experience:

·Good standard of education

·A professional with a university diploma

·4+ years of Facilities/administrative experience

Knowledge, Skills, Abilities

  • Proficiency in Microsoft Office programs
  • Good organizational and time management skills
  • Confidence to handle sensitive information and data effectively
  • Ability to coordinate multiple tasks while still delivering high quality results
  • Good written and oral communications skills
  • Ability to interact effectively with all levels of the organization
  • Detail oriented with analytical thinking and problem-solving attitude
