Responsibilities include, but are not limited to:
Provide high-level administrative and operational support to executive leadership, including complex calendaring, scheduling, travel arrangements, and expense reporting.
Manage end-to-end meeting coordination, including preparing agendas, taking clear and concise meeting notes, documenting decisions, and tracking action items to ensure timely follow-up and completion.
Act as a trusted partner to executives by proactively anticipating needs, prioritizing requests, and ensuring seamless day-to-day operations in a fast-paced, dynamic environment.
Coordinate and communicate with internal stakeholders to follow up on assigned tasks, deadlines, and deliverables resulting from leadership meetings.
Organize and support team and leadership meetings, offsites, and events, including logistics, materials preparation, and post-event follow-up.
Support general office management activities, including procurement support, office supplies coordination, and vendor interactions.
Work cross-functionally with other executives, executive administrators, and key business partners to ensure alignment and efficiency.
Maintain professionalism, discretion, and confidentiality when handling sensitive information and executive communications.
Position Requirements
8+ years of experience supporting executive-level leaders (Vice President and above).
Demonstrated proficiency in the Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Experience working with procurement and expense systems such as Coupa or similar platforms.
Proven ability to manage multiple priorities and support several leaders concurrently with accuracy and attention to detail.
Strong organizational and follow-through skills, with the ability to independently manage tasks and meet deadlines with minimal supervision.
Excellent verbal and written communication skills, including the ability to produce professional meeting notes, summaries, and follow-up communications.
High level of professionalism, maturity, discretion, and sound judgment; ability to always maintain confidentiality.
Positive, service-oriented mindset with the ability to remain calm, adaptable, and effective under pressure.
Job Location
This is an on-site position based in San Jose, CA. In-office attendance (4 days a week) is required.
The annual salary range for California is $45.09 to $83.75 an hour. You may also be eligible to receive incentive compensation: bonus, equity, and benefits. Sales positions generally offer a competitive On Target Earnings (OTE) incentive compensation structure.
