Job Description Summary:
This position plays a critical role in ensuring the smooth, efficient, and well-coordinated daily operations of the Risk Management Department. The Senior Business Coordinator provides comprehensive administrative and operational support to the Senior System Director, Medical Director, Regional Directors, and the Senior Consultant for Property/Casualty Risk. Core responsibilities include managing complex calendars, arranging travel, preparing timely expense reports, scheduling, and supporting high level meetings, coordinating systemwide events, managing office supply needs, and collaborating closely with other senior business coordinators, project managers, paralegals, and other support personnel across the organization.
The role is essential to maintaining seamless continuity of departmental activities and leadership obligations.
Additionally, the position may be responsible for managing and settling patient claims related to lost and found items. This includes conducting thorough investigations, coordinating with internal departments, communicating with patients and families, and documenting all findings and resolutions. The coordinator must also develop a strong understanding of operational workflows at the business unit level to effectively support the department’s broader responsibilities and ensure consistent, high quality service delivery.
Responsibilities And Duties:

Coordination / Computer SkillsAssists manager in coverage of this position across the system and coordinates interviews for open positions.Sets up interviews with nurses/physicians, etc. for defendants or those required for depositions and communicating to outside attorneys. See Legal Matters Maintains and ensures updated information in Risk Management Database – ORIGAMI.Provide PowerPoint presentations with graphs from database.Work with Microsoft Excel to provide required data entry – with graphing.Auditing of staffing entries.
30%:
Legal Matters:Gather all records for litigation. Requests Medical Records for patient inquires/ Notice Letters/Summons and Complaints, ensuring certification of each record from all hospitals and office visits, as well as obtaining itemized billing, films and reports from Radiology.Help with organization and research in preparation of interrogatories.Send legal information through courier service.Maintain Notary Certification.Communicate with outside law firms’ Paralegal to ensure accurate information is submitted.Communicate with Corporate Legal Department to confirm accurate information around claim.Complete request for patient refunds or payment with direction of the Manager or Risk Consultant Coordinator .Collect data for trending of potentially compensable events PCE ; provides feedback to managers around these matters.Assist with updates to the orientation manual and risk protocolsRisk Management database reviews done weekly to ensure complianceProofreading of written communication
30%:
Lost and FoundManage all claims related to lost patient belongings.Independently investigates claims for validity, working with multiple departments to find item or how it was lost. This would include rounding in multiple departments, interviewing staff and management.Negotiate with patient and outside vendors to settle matters – e.g. setting up agreement for denture replacement/repair.Settle small matters with claimants’ and requests checks through accounts payable; e.g. check requests, issues payment on invoices.Process claims as settlement or denial.Will document appropriate information around lost and found related to each matter in the data system.Communicate with patient/family around their concern and documentation of that conversation.Letter writing to vendors, claimants, and businesses as needed.Work with courier, coordinating delivery of items as requested.

FinanceRequest checks for payments to outside vendors to settle matters around lost or broken patient valuables and will document this activity.Will manage and document activities around the “petty cash” fund at specific campuses.Provides to Legal, necessary information for the Center for Medicare/Medicaid Services required reporting.Prepares financial reports for senior leadership.
