Job Description
Gilead's mission is to discover, develop, and deliver therapies that will improve the lives of patients with life-threatening illnesses worldwide. This position performs a wide variety of activities in support of the SVP and their respective organization.
Handling complex projects and events that require gathering, reviewing, and analyzing data that impact a major portion of the organization.
Serves as a primary resource for data and information to others in their function, and represents the function on administrative matters.
May recommend, interpret, and/or implement company and internal administrative policies and procedures, and interprets administrative policies and procedures when responding to queries.
Interfaces with senior-level external parties to provide information and answer queries.
Interfaces with a broad range of internal management and staff in the course of meeting a wide range of administrative needs.
Primary organizer for department-wide events, town halls, and offsites.
Coordinates the Oncology leadership team meetings, takes minutes, and follows up on action items in coordination with the Oncology Business Strategy and Operations (OBSO) representative.
Assists the OBSO representative with managing the departmental budget.
Oversees and may delegate activities and responsibilities with other Administrative Coordinators within the group to ensure seamless scheduling of department governance and meetings, such as DRCs, departmental events, contracting, and space planning.
May design and revise processes to enhance workflow, including using software to generate reports, statistics, timelines, correspondence, and presentations. Supports the SVP and manages the SVP’s calendar, schedules meetings and understands priorities, travel, and expenses.
Supports the OBSO calendar.
This position requires in office presence on days the SVP is also in office.
High school diploma and 5+ years of relevant experience; OR
Associates degree and 4+ years of relevant experience; OR
Bachelor's degree and 2+ years of relevant experience; OR
Masters' degree and 0+ years of relevant experience
Excellent verbal, written, and interpersonal communication skills are required.
Requires working knowledge and understanding of company-wide administrative policies and procedures.
Must have the ability and experience to coordinate a variety of activities simultaneously, including interfacing with senior internal and external parties.
Contacts require the incumbent to plan and prepare communications independently, along with the skill and tact to respond to routine and non-routine queries.
Works independently; typically, work is reviewed infrequently and only for soundness of judgment and overall adequacy and accuracy
Highly adaptable and technologically proficient, with a proven ability to quickly embrace new tools and evaluate their optimal use to enhance everyday productivity.
