Job Description

This role will support the GI Rare field sales teams as well as the GI Key Accounts team. Reporting into the Head of Sales, Eohilia, the Sr Admin will operate in a fast-paced environment by supporting the GI Rare Sales teams and the KAM sales team responsible for performing relevant administrative and operational support responsibilities for the sales leaders and their team, ensuring effectiveness, efficiency, and cohesiveness.

  • Manages calendar and initiates meetings for Heads of Sales (Eohilia, Gattex and Key Accounts) and the field sales and Key Accounts leadership teams
  • Arranges travel and completes expense reports for sales and key accounts leadership team members
  • Collaborates with team on planning and logistics for key meetings, team workshops and other required events
  • Interfaces and communicates with internal customers; directs people to the appropriate resources.
  • Executes administrative responsibilities around a high volume of sponsorship requests effectively following the detailed process while partnering closely with internal and field stakeholders.
  • Research solutions to improve effectiveness and efficiency of team.
  • As required, leads contracts process, including approvals and payment of vendors, consultants, and suppliers; responds to inquiries from accounts payable and payees.
  • May provide back-up administrative support for other GIBU admins, as required
  • Monitors Travel & Expenses, seeking appropriate approval from leaders as needed
  • Ideates and executes team and culture building activities.
  • Maintains Teams/Sharepoint sites, field sales rosters and organizational charts as needed
  • Develops a strong network within the organization; draws on that network to answer questions and successfully execute responsibilities. 
  • Demonstrates confidentiality and professionalism in execution of all responsibilities. 
  • Uses appropriate tools, as needed, including Microsoft Outlook, Word, Excel, and Power Point.
  • Coordinates documents and correspondence, including letters, reports, emails, presentations, memos, etc.
  • Reviews documents and proofreads work for grammar and spelling, accuracy, consistency of terms, and completeness; ensures document text and graphics adhere to corporate and organization guidelines and standards.
  • Performs other duties as required.
  • Leverages digital tools, including AI, to support the team in an agile and productive manner

Required:

  • High school diploma/GED required.  Associates degree preferred. 
  • Minimum 5 years of relevant work experience, or equivalent combination of training and experience. 
  • Excellent organizational skills
  • Strong PC literacy with intermediate skills in Microsoft Outlook, Word, Excel or PowerPoint. 
  • Ability to multi-task and prioritize in a fast-paced environment
  • Excellent verbal and written communication skills
  • Demonstrated ability to learn and adopt new digital tools and systems, including AI

Preferred:

  • Experience supporting field sales/commercial leaders and teams 

Travel:

  • May occasionally travel in support of national sales meetings and/or trainings

U.S. Hourly Wage Range:

$28.27 - $44.42


The estimated hourly wage range reflects an anticipated range for this position. The actual hourly wage offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. The actual hourly wage offered will be in accordance with state or local minimum wage requirements for the job location. 

U.S. based employees may be eligible for short-term incentives.
