Job Summary

The Specialist, MICE Operations is responsible for ensuring operational excellence and a seamless guest experience for all events and charters on board our yachts. This role supports the planning, implementation, and tracking of assigned MICE and charter projects, ensuring that all agreed deliverables are completed on time and within budget. This includes resolving operational issues, documenting and upholding SOPs and Brand Standards, and driving strategic projects and revenue initiatives.

Essential Duties

  • Assist the Manager of MICE Operations in liaising between the client, the specific Operations team members, and the yachts to manage all requests from clients or the Sales team, answer any questions, and resolve issues regarding events, yacht charters, or incentive groups.
  • Conduct site inspections of the yacht, hotels, restaurants, and other venues
  • Supports the Manager to create business reports that provide insight into key data points.
  • Coordinate booking requests between the sales department and the operations teams for various services.
  • Update the department database and provide regular work-in-progress reports.  
  • Resolve challenges and provide timely and professional follow-up.
  • Liaison between internal departments, ensuring prompt turnarounds.
  • Escorts day visits, site sailings with clients, and corporate programs. 
  • Assist in the creation and execution of detailed event orders (EOs) and operational briefs for each charter, incentive, or group program, ensuring all onboard and shoreside teams are aligned. 
  • Coordinate logistics for onboard and shoreside events, including vendor deliveries, customs clearance, and port agent communication.
  • Prepare and distribute internal communication documents, such as pre-voyage briefs, daily recap notes, and post-event reports.
  • Collaborate cross-functionally with departments such as Sales, Finance, Hotel Operations, Port Operations, Spa, and Entertainment to ensure seamless execution.
  • Provide administrative and operational support for special projects, trade events, and leadership summits as assigned.

Qualifications

  • Bachelor's Degree or equivalent education preferred
  • Minimum 2 years' experience in an event management support role, or other commercial or operational areas in the travel/tourism segment, with a solid track record in the industry
  • Proficient knowledge of Microsoft Office Suite; PowerPoint and Excel experience is required
  • Proficient computer, technical, and troubleshooting skills
  • Excellent communication skills with fluency in English
  • Ability to work in a deadline-driven environment, balancing multiple priorities, and able to work well under pressure with others
  • High level of attention to detail required
  • Possess a positive can-do attitude and ability to thrive in a dynamically changing environment
  • Excellent interpersonal, organizational, and team collaboration skills
  • Flexibility to travel for business, sometimes on short notice
  • Business acumen – maintain knowledge of market and competitive trends
  • Ability to work at a very high level without supervision
  • Experience in luxury hospitality, cruise, or yacht charter operations preferred
  • Strong understanding of event logistics, budgeting, and vendor management
  • High level of professionalism and discretion when handling VIP clients and confidential information
  • Strong sense of ownership, accountability, and drive for excellence
