What this job involves:

As a Marketing Project Coordinator, you will serve as the central hub for project intake and task coordination across the REMS Marketing team. You will help streamline workflows, manage project requests, and ensure efficient communication between team members and stakeholders to support the successful delivery of campaigns and content.

 

Key Responsibilities:

 

  • Project Intake & Request Management: Manage the intake process for all marketing requests, including campaign projects, content creation, and design work. Collect project requirements, assess scope, and route requests to appropriate team members. Maintain centralized tracking of all incoming requests and their status.

  • Task Coordination & Workflow Management: Coordinate task assignments across the marketing team and track project progress from initiation to completion. Facilitate handoffs between team members and ensure deadlines are met. Monitor workload distribution and help prioritize tasks based on business needs.

  • Project Planning & Timeline Management: Create and maintain project timelines, milestone schedules, and deliverable tracking. Assist with resource allocation and capacity planning. Send regular status updates and deadline reminders to stakeholders and team members.

  • Stakeholder Communication: Serve as the primary point of contact for project status inquiries and updates. Schedule and coordinate project meetings, reviews, and approvals. Maintain clear communication channels between the REMS Marketing team and internal clients.

  • Documentation & Process Management: Maintain project documentation, including briefs, timelines, and deliverable specifications. Help develop and improve team processes and workflows. Create and update project templates and intake forms for consistent project management.

  • Production Project Management: Develop and manage detailed production schedules and milestone tracking. Coordinate content reviews and approval processes with stakeholders

The ideal candidate should possess 5-7 years of experience in project coordination or administrative support with 2+ years in marketing or creative environments:

 

  • Strong organizational skills with the ability to manage multiple projects simultaneously

  • Excellent communication skills and comfortable interacting with various stakeholders

  • Detail-oriented with ability to track deadlines and follow up proactively

  • Collaborative approach with the ability to work effectively in a team environment

  • Problem-solving mindset with the ability to identify and resolve workflow bottlenecks

 

Technical Skills: 

  • Project Management Tools: Asana, Monday.com, Trello, or similar project management platforms

  • Microsoft Office Suite: Advanced Excel skills for tracking and reporting, PowerPoint for status presentations

  • Communication Tools: Microsoft Teams team coordination

  • Document Management: SharePoint, Google Drive, or similar file sharing systems

  • Basic Analytics: Ability to create simple reports and dashboards for project tracking

  • CRM/Request Systems: Experience with ticketing or request management systems is a plus

 

Communication & Collaboration: 

  • Strong writing and communications skills, native English is a must

  • Partner with teams across multiple time zones and with various cultural backgrounds

  • Be positive and have a can-do attitude

 

Qualifications:

  • A degree in literature, content, and communications. PG preferred

  • Prior experience in project management/program coordination/Client servicing is preferred
