Special Projects Coordinator

ROLE OVERVIEW

Great Oaks Legacy Charter School is seeking a dynamic, mission-aligned educator to join our team as a Special Projects Coordinator.

The Special Projects Coordinator (SPC) provides logistical and operational support that helps promote the success of their campus. The SPC is the primary owner of a variety of operations tasks such as project management, managing the student recruitment and enrollment coordinator, and event planning. The ideal candidate will enjoy working in a fast paced environment, can manage many competing priorities and constituents, and can work efficiently under deadlines. 

REPORTING RELATIONSHIP

The SPC will report directly to the Operations Manager.

ESSENTIAL DUTIES &  RESPONSIBILITIES

Events and Field Trips

  • Plan, prepare, and facilitate logistics for field trips and events, including staff and campus events. Logistics include, but are not limited to the creation of permission slips, responses, flyers, tickets, programs, and communication. 
  • Manage the budget related to field trips and events, including staff and campus events.  
  • Lead all staff communications related to events and field trips, which may include in-person professional development sessions. 

Facility Support

  • Ensure facility is aesthetically pleasing by maintaining and decorating shared spaces and bulletin boards and conducting thorough daily walkthroughs to make note and take action on any issues that arise day-to-day
  • Supports in maintaining the school and GOLCS Event calendars by adding all confirmed events and field trips.  

Procurement 

  • Manage purchases by coordinating orders with vendors and tracking delivery, inventorying, submitting requests for payment, forwarding purchase orders once received, ensuring that office supply and additional requested orders are submitted on a weekly basis.
  • Receives deliveries and checks for accuracy. Manages supply inventory and communicates needs to Operations Leader.
  • Conduct price comparisons across vendors and initiating relationships to offer best prices to our schools.

General Operations

  • Collaborates on student recruitment activities; participate in student enrollment and registration activities. 
  • Participate in canvassing efforts alongside designated school-based staff on assigned days to build community partnerships, promote GOLCS, and assist GOLCS in having a community presence.
  • Manage the campus social media channels and utilize guidance and templates distributed by the network.
  • Create and distribute communication for parents, families, staff, and other community members related to events, field trips, and special announcements. 
  • Support troubleshooting hardware tech when possible. Utilize the assistance of the Tech Team when needed. 
  • Work closely with the and under the guidance of the School Leadership Team to support initiatives across the campus.
  • Manage non-instructional aftercare programming including managing relationships with internal and external Program Coordinators, executing required agreements, working with Dean to establish and track behavior guidelines and consequences, recording daily attendance, and leading all necessary communications. 
  • Assist potentially at multiple GOLCS - Newark school locations, learning different aspects of the organization. 
  • Assist with Network based projects and initiatives. 
  • Additional responsibilities as assigned by your supervisor or Network Operations.

  • Strong time management skills; ability to manage multiple tasks simultaneously and meet tight deadlines.
  • Demonstrated flexibility, maturity and ability to juggle competing priorities.
  • Strong written and oral communication skills; strong interpersonal skills with students, parents, colleagues and community members.
  • Interest in performing a critical support role and the ability to excel in a fast-paced, entrepreneurial, results-oriented environment.
  • Ability to maintain a calm, professional demeanor in the face of competing demands and external pressures.
  • Prior experience working in schools and/or urban communities.

Great Oaks Legacy Charter School offers a competitive and equitable compensation package aligned to years of relevant experience. The base salary for this role is $55,396, along with a comprehensive benefits package that includes:
