Spa Coordinator
SUMMARY
The Spa Coordinator is a highly visible and integral role within the Spa, responsible for supporting the flow, organization, and daily excellence of all operations. This individual serves as a key partner to Spa Leadership, helping to ensure that every detail—across guest experience, colleague support, and facility readiness—is thoughtfully executed.
With a strong presence in the operation, the Spa Coordinator helps create an environment where colleagues feel informed and supported, and where guests experience a seamless, personalized, and elevated level of care. This role brings intention to communication, structure to daily operations, and consistency to the overall Spa experience.
PRIMARY RESPONSIBILITIES
- Support the daily flow of the Spa across all areas, including Reservations, Front Desk, Salon, Fitness, Lounge, Facilities, Massage, and Aesthetic Services, ensuring a seamless and well-orchestrated operation.
- Partner closely with Spa Leadership to align on daily priorities, business needs, and service focus, helping bring clarity and consistency to the team.
- Assist in coordinating VIP guests and group experiences, ensuring thoughtful preparation, personalization, and follow-through.
- Support the efficiency and balance of daily spa bookings, working to maximize business levels with an exceptional associate and guest experience.
- Coordinate meetings, trainings, and daily touchpoints, ensuring teams are informed, prepared, and set up for success.
- Maintain awareness of the physical space, supporting the readiness, cleanliness, and functionality of all Spa facilities and equipment.
- Oversee linen and supply inventory processes, including regular counts, organization, and ordering of professional products, all linens, and supplies.
- Ensure operational tools, systems, and records are accurate, organized, and up to date.
SUPPORTIVE RESPONSIBILITIES
- Create and share a weekly Spa communication, designed to keep the team connected, informed, and aligned on priorities, updates, and upcoming focuses.
- Ensure all back-of-house and prep area communications are current, clear, and reflective of the Spa’s standards.
- Support onboarding experiences and training coordination for new associates, helping them feel welcomed and set up for success.
- Partner with departments such as Housekeeping, Engineering, and Guest Services to support the overall Spa environment and guest journey.
- Track and communicate any facility or equipment needs, ensuring timely follow-up and resolution.
- Assist with ongoing projects, scheduling and tracking audits, tracking and communicating surveys and initiatives that elevate the Spa experience.
- Provide hands-on operational support during high-volume or high-touch moments including spa reservations, check-in, check-out, POS, tours, and lounge assistance.
QUALIFICATIONS
- Experience in a luxury spa, hotel, or wellness environment required.
- Strong organizational skills with the ability to manage multiple priorities with ease and attention to detail.
- Comfort working with labor management systems, reservations platforms, and inventory processes.
- Clear, thoughtful written and verbal communication skills.
- Professional presence with the ability to engage confidently with both colleagues and guests.
- Discretion and care when supporting VIP guests and sensitive situations.
- A collaborative mindset and a natural inclination to support team success.

PHYSICAL REQUIREMENTS
- Ability to stand, walk, and move with well‑paced mobility for extended periods.
- Ability to lift 50 lbs and maneuver equipment up to 250 lbs when needed.
- Ability to bend, stretch, twist, and perform repetitive motions.
- Strong auditory and visual acuity.
- Manual dexterity to operate necessary equipment.
The pay scale for Spa Coordinator is $25.00.
The pay scale is the base salary or hourly wage range, exclusive of incentive pay such as commissions, piece rates, gratuities, and the like, that Montage reasonably expects to pay for the position.
