Software Licensing Specialist, Technology Asset Management

As a member of the Global Technology Operations team, you will be responsible for configuring, administering, and optimizing the FlexeraOne platform, with a focus on IT Visibility, Technology Intelligence, and Software Asset Management (SAM). This role ensures seamless integration with ServiceNow, enabling unified asset discovery, data normalization, license compliance, and actionable insights for IT and business stakeholders.

  • Configure and administer FlexeraOne modules, including IT Visibility, Technology Intelligence, to effectively deliver Software Asset Management (SAM) function that includes SaaS Management.
  • Manage user roles, permissions, and oversee integrations with enterprise systems such as ServiceNow, SCCM, Active Directory, and various cloud providers.
  • Supervise the deployment and maintenance of agents, beacons, and business adapters across the environment.
  • Aggregate and normalise IT asset data from multiple sources to deliver a comprehensive, unified view of the technology landscape.
  • Utilise Flexera’s Technology Intelligence Platform (Technopedia®) to enrich asset data, identify technology lifecycle stages (EOL/EOS), and support ITSM and ITFM processes.
  • Deliver insights on vulnerabilities, ESG metrics, and technology-related risks to support informed decision-making.
  • Monitor and manage software licences, entitlements, and usage throughout the organisation.
  • Conduct regular compliance reviews and optimisation assessments to ensure effective asset management.
  • Support software licence negotiations, contract management activities, and maintain audit readiness.
  • Facilitate the implementation and configuration of the FlexeraOne and ServiceNow application, enabling bi-directional data flow with the ServiceNow CMDB.
  • Normalise hardware and software configuration item (CI) data through Technopedia enrichment, enhancing CMDB accuracy and minimising duplicate records.
  • Schedule and monitor delta jobs, manage import/export connections, and troubleshoot integration issues as needed.
  • Enable business service mapping and lifecycle tracking for effective EOL planning within ServiceNow.
  • Develop and maintain dashboards and reports detailing asset inventory, licence compliance, cost savings, and risk exposure.
  • Provide actionable intelligence to IT, procurement, and finance teams to drive strategic initiatives.
  • Resolve FlexeraOne and ServiceNow integration issues, coordinate with vendors, and ensure optimal system uptime.
  • Maintain comprehensive documentation, deliver training sessions, and mentor team members.
  • Identify and implement process improvements to enhance asset management practices and data quality.

Qualification

  • A bachelor’s degree or advanced diploma in Computer Science, Computer Engineering, Information Technology, or a closely related discipline, or equivalent relevant experience, is required.
  • Possess more than 10 years of professional experience in Information Technology, with at least 7 years of specialised, hands-on expertise in Software Asset Management (SAM) practice and tools, particularly with FlexeraOne.
  • Demonstrated comprehensive knowledge of licensing models, entitlements, and compliance frameworks, such as ISO19770.
  • Established history of effectively tracking license expirations, reconciling software usage against entitlements, and preparing for audit processes.
  • Proficient in supporting the complete asset lifecycle, from procurement and deployment through to retirement.
  • Skilled in maintaining accurate inventories and Configuration Management Database (CMDB) records.
  • Experienced in managing centralised inventory systems and integrating with CMDBs, ensuring asset accuracy through regular reconciliation.
  • In-depth product-specific software licensing knowledge and experience, including IBM, Microsoft, and Red Hat, is essential.
  • Ability to analyse usage data to identify savings opportunities and optimise license allocations.
  • Competent in developing dashboards and reports using FlexeraOne’s out-of-the-box reporting capabilities and Power BI to support strategic decision-making.
  • Experienced in collaborating with procurement and finance teams for negotiations and renewals, ensuring alignment with asset management strategies, organisational objectives, and legal requirements.
  • Adept at acting as a liaison between IT, legal, finance, customers, and operations departments to resolve licensing queries and ensure compliance.
  • Capable of facilitating user education initiatives and implementing governance policies.
  • Experienced in developing SAM standards, policies and enforcing process controls.
  • Prepared to support internal and external audits and maintain comprehensive documentation.
  • Proficient in identifying license compliance risks and implementing corrective measures.
  • Focused on optimisation and cost-avoidance strategies.
  • Exhibits strong verbal and written communication skills, meticulous attention to detail, and proven capabilities in project management and cross-functional coordination.
  • Certifications such as CSAM (Certified Software Asset Manager), ITIL Foundation, and vendor-specific credentials (e.g., Flexera, Snow, ServiceNow) are advantageous.
