We are seeking a detail-oriented Site Project Coordinator to manage on-site logistics, customer visits, and various internal activities at our Austin, TX facility. This role requires strong organizational and communication skills to ensure smooth operations and a positive experience for visitors and employees.
What will you do? -
· Coordinate customer site visits: scheduling, attendee communication, hotel info, conference room setup, catering, and welcome materials.
· Maintain calendar of onsite groups to ensure space and support availability.
· Organize onsite meetings for staff, vendors, and forums.
· Manage office supplies, break room snacks, coffee, and weekly orders; oversee janitorial coordination and conference room upkeep.
· Support site-level activities: volunteer events, celebrations, festivals, and team-building.
· Assist with facility work orders, intern onboarding, JET program tracking, health & wellness initiatives, and training events.
· Provide administrative support for expenses, travel, and Coupa as needed.
· Maintain a professional and welcoming presence as the first point of contact for visitors.
· Perform other duties to support site operations as needed.
How will you get here? –
Education: Associate’s degree or relevant work experience is required.
Experience: 0–3 years of experience in coordination, administration, or customer service is required.
Knowledge, Skills, Abilities:
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
· Strong customer service, communication, and organizational skills.
· Ability to multitask, prioritize, and maintain confidentiality.
· Problem-solving mindset and attention to detail.
· Must be flexible to work overtime as needed.
· Must be onsite in Austin, TX.
Preferred Qualifications:
· Bachelor’s Degree and 3+ years experience.
· Experience in a fast paced corporate environment is desired.
