MAJOR RESPONSIBILITIES
1. Facilities & Workplace Management
Lead and manage day-to-day IFM operations to ensure a safe, compliant, and high-performing workplace environment.
Conduct regular site walk-throughs to ensure cleanliness, safety, and service standards across oƯices, lobbies, and meeting rooms.
Oversee Moves, Adds & Changes (MAC), minor projects, and workplace improvements.
Implement and manage the Preventive Maintenance Program, ensuring statutory and risk compliance. Ensure site risk, audit, and compliance requirements are met in line with JLL and client policies. Provide 24/7 emergency response support and attend site as required.
Ensure escalation protocols and incident reporting procedures are in place and followed.
2. Vendor, System & Stakeholder Coordination
Manage and coordinate vendors for facilities-related services including cleaning, security, landscaping, transportation, oƯice supplies, utilities, and other outsourced services.
Support vendor selection, service reviews, and performance management in line with KPIs and SLAs. Review and resolve outstanding service tickets and recurring service issues, escalating where required.
Systems Management
SAP
Raise shopping carts for routine and ad-hoc services.
Process non-PO payments (PRF), follow approval workflows, and track invoice status.
Complete invoice confirmations and ensure timely vendor payments.
JLL Corrigo
Raise and manage Work Orders (WO#) and support regional invoice submissions.
Liaise with Finance, Procurement, and internal requesters for PO and invoice approvals.
Reporting & Cost Control
Monitor monthly and quarterly expenses and validate internal cost allocations. Maintain accurate records of vendors, POs, invoices, and service contracts.
Consolidate data for monthly reporting, budget tracking, service performance, and ad-hoc management reports.
3. Financial Management
Manage site budgets and ensure expenditure is in line with approved forecasts. Review vendor invoices for accuracy and compliance with contract terms. Support cost optimization initiatives while maintaining service quality.
4. Safety, Security & EHS Compliance
Ensure full compliance with EHS policies, statutory regulations, and client requirements. Report all incidents within required timelines and ensure corrective actions are implemented. Conduct and document monthly and quarterly inspections, audits, and remediation activities. Coordinate with Corporate Security on safety and security matters.
Oversee Fire Warden and First Aid programs and ensure vendor induction to site-specific EHS requirements.
5. People Management
Lead, coach, and develop the site team in line with JLL’s values and service culture.
Build a high-performing, motivated team with strong customer focus and accountability. Ensure high staƯ morale, ethical standards, and eƯective teamwork.
Support training, mentoring, and performance development of team members.
6. Administrative & Stakeholder Support
Act as the primary liaison between client stakeholders, vendors, and JLL internal teams.
Support onboarding of new employees by coordinating with IT and Facilities for workstation setup and access readiness
Assist with quarterly business reviews (QBRs), management reporting, and operational documentation.
7. Other Responsibilities
Perform other duties as assigned by the SEA Lead or Supervisor to support daily operations and ensure seamless service delivery.
CANDIDATE SPECIFICATION: KEY SELECTION CRITERIA
Ideal Experience & Qualifications
Diploma or above with minimum 3–5 years of relevant experience in Facilities Management or IFM. Prior experience managing corporate / commercial facilities environments (Singapore market preferred).
Experience working in a corporate environment, preferably with multinational corporations (MNCs).
Proven experience in financial management, budgeting, and cost control.
Core Competencies.
Strong customer service orientation with ability to manage stakeholder expectations professionally. High level of PC literacy and ability to operate multiple systems and platforms.
Intermediate to advanced proficiency in Microsoft Word, Excel, and PowerPoint.
Demonstrated problem-solving and analytical skills, with the ability to work under ambiguity and resolve complex operational issues.
