The Opportunity

The Site Administrative Assistant, is responsible for organizing and coordinating office operations and procedures to ensure organizational effectiveness and efficiency. Primary responsibilities include completing all facilities and senior leadership administrative tasks.


What You'll Work on

  • Assist in the daily management of site requests and vendor communications

  • Create and submit monthly expense reports for leadership
  • Sort daily mail, shipments, and deliver to correct departments as well as maintain delivery logs
  • Take site meeting minutes and report action items for the site administrative needs
  • Complete daily, weekly and monthly task lists which consist of a variety of administrative and facility responsibilities
  • Create Site Purchase Orders in a timely fashion
  • Order and maintain office supplies and maintain appropriate inventory levels
  • Ensure cleanliness and supplies are stocked adequately in conference rooms and common areas
  • Supports facility management with facilities issues
  • Supports facility management with new hire needs
  • Operate a variety of office equipment such as copy machines, collators, computers, postage sorter, and postage machine.
  • Learn how to run and operate the room ready technology in main conference rooms.
  • Assist with the coordination of office events, on-site meetings, and the ordering and facilitation of catered lunches
  • Manage and maintain Site Directory, Seating Charts, Inventory Logs, and Facilities Documentation
  • Execute applicable Quality System processes and monitor the accuracy of service provided
  • Directly oversee the janitorial and pest control vendors and their day-to-day activities and assessments

Required Qualifications

  • Must have good keyboarding and typing skills
  • Must be proficient in Microsoft 365 Suite
  • Must be a self-starter with the ability to prioritize multiple tasks
  • Must be able to interact effectively with all levels of the organization
  • Must have a demonstrated ability to maintain a professional image
  • Excellent organization skills required
  • Ability to maintain spreadsheets, expense reports and calendars required
  • Great Interpersonal skills required
  • Bi-Lingual (preferred)
  • High School Diploma Required
  • Minimum 2 years’ experience in an Administrative Assistant role required

The base pay for this position is

$19.05 – $38.15/hour
